What are we looking for?
The Administrative Coordinator, Operations will provide administrative and operational support to the Strategy & Operations function, ensuring smooth execution of contract routing, vendor management, and compliance processes. This role is ideal for a detail-oriented, highly organized individual who thrives in a fast-paced, cross-functional environment.
What will you do?
Contract & Document Management
- Route contracts for internal and external signatures via ContractSafe, DocuSign
- Track contract status and follow up with Legal, Procurement, and stakeholders as needed.
- Maintain a centralized repository of executed agreements.
Vendor Management & Security Reviews
- Coordinate and Retrieve documentation from vendors for Security, Privacy, and Legal review (e.g., SOC2, ISO, Privacy Policies, DPAs).
- Ensure vendors complete Security and Legal Review forms accurately before routing.
- Assist with New Vendor Requests (NVR) in systems like Jira, Graphite, or Oracle.
- Track progress of vendor onboarding through approval workflows and update status sheets.
- Assist in various audits for contract management
Administrative & Operational Support
- Manage and digitize incoming mail, maintaining organized records and routing materials to Legal and Accounting as needed
- Plans, organizes, and communicates the weekly office lunch schedule for onsite employees
- Handles all Amazon orders related to the company’s new hire work-from-home equipment policy
- Maintaining process and procedure for cross-functional communication and procurement between teams

- You will NOT worry about "runway", "cash left", or "how much time we have until the next round". We have the startup DNA but we're fully backed and funded, all the way to success.
- You will NOT be confined to your "job". You will get involved in product, marketing, business strategy, and almost everything we do.

Can I work remotely?
This role requires employees to be onsite in our San Jose,CA office with some remote flexibility. We believe in the value of in-person collaboration to drive innovation and strengthen team dynamics.
Requirements
- 1–3 years of administrative or operations experience (legal ops, vendor management, or procurement a plus).
- Strong attention to detail and ability to manage multiple priorities.
- Familiarity with tools like Jira, ContractSafe, DocuSign, Google Workspace, or Excel.
- Excellent written and verbal communication skills.
- Comfortable working with confidential information and cross-functional teams.
- Team player who’s just as comfortable handling the small stuff as the big-picture projects.
- Work well cross-functionally
Bonus
- Experience supporting Legal, Security, or Procurement teams.
- Interest in learning vendor management and contract compliance workflows.
- Familiarity with workflows or automation tools

The base salary range for this position is $75,000 - $80,000. In addition to the base salary, this position is eligible for a performance bonus and the extensive benefits listed here (subject to eligibility requirements): Teladoc Health Benefits 2026. Total compensation is based on several factors – including, but not limited to, type of position, location, education level, work experience, and certifications. This information is applicable to all full-time positions.
