Job Title: Mailroom Documents Admin

Location: This position is onsite in Irvine, CA.

Employment Type: Full-time

Pay Range: $21-23 per hour based on experience, qualifications, and skillset.

Key Responsibilities:

The Mailroom Documents Admin must be able to perform the following tasks:

  • Assist in the collection of all necessary documents for tax resolution, maintaining
    an organized system for tracking requests and receipts.
  • Consistently communicate with clients via email and text messages to remind
    them of outstanding document requests and deadlines.
  • Ensure timely responses to client call-back requests, within a 24-hour timeframe.
  • Utilize the Logics CRM system to manage client interactions and document
    submissions, ensuring accurate and timely updates to client profiles.
  • Upload and properly rename documents within the CRM, maintaining data
    integrity and accessibility.
  • Assist in preparing and submitting updated IRS and state forms as needed -
    ensuring accuracy and completeness.
  • Support mailroom functions as needed, including sorting, scanning, putting docs
    together for outgoing mail and handling client correspondence.
  • Maintain a high standard of professional conduct in all client interactions.
  • Adhere to company policies, procedures, and ethical guidelines, particularly in
    handling sensitive and confidential information.

Required Qualifications:

The Mailroom Documents Admin must have the following experiences:

  • Relevant experience in case management or client services, preferably within a tax
    or financial services environment.
  • Exceptional communication skills, capable of conveying complex information in a clear
    and concise manner.
  • Ability to handle sensitive information with confidentiality and professionalism.
  • Strong organizational skills and attention to detail.
  • While performing the duties of this job, the employee is frequently required to sit for long
    periods of time; walk and stand; use hands and fingers to operate keyboards, printers, fax
    machines or other office equipment; hearing and speech to communicate in person and over the
    telephone and/or radio; vision to read printed material and a computer screen; lift and/or move
    up to 25 pounds and heavier weights with the use of proper equipment.

Preferred Qualifications:

  • Relevant experience in case management or client services, preferably within a tax
    or financial services environment
  • A thorough understanding of IRS procedures and tax resolution options is beneficial.
