This position is based at San Jose, California. We support a hybrid work environment with on-site and remote work days.

We are looking for a highly motivated, innovative, results driven Executive Assistant to provide administrative and coordination support to a the VP of IT and VP of IS. This position will proactively coordinate, manage and keep track of necessary schedules, projects and commitments, and contribute to program coordination for transformation initiatives.
- Assist executives w/ daily operational activities, including calendar management, scheduling, prioritizing sensitive matters, and meeting coordination for executive calendars
- Provide administrative assistance, such as preparing emails, documenting notes and takeaways, and other communications on the executives behalf
- Coordinate individual and group travel, including, but not limited to transportation and accommodations, meals, and other out of town events
- Welcoming and escorting visitors for onsite meetings and ensuring all room and conference details are met
- Assist in the planning and organizing of conferences, events, staff training, and employee engagement activities
- Collaborate with other executive assistants to create best practices; identify opportunities for streamlined support and improved productivity across the company
- Contribute to programs and processes that improve the productivity of executives and their teams through centralized program coordination or support
We’d love to chat if you have the following:
- 4+ years experience supporting exec-level professionals
- Excellent interpersonal and communication skills
- Excellent organizational, time management skills and attention to detail
- Ability to multitask and prioritize
- Self-starter with strong analytical and problem-solving skills
- Proficiency in Microsoft Office and Google Suite
- Can work independently w/ little supervision but also excels in a team environment
The estimated salary range for this role is noted below for our San Jose based role. Our ranges for each role and job level are based on a variety of factors including candidate experience, expertise, and geographic location and may vary from the amounts listed above. The role is also eligible for a competitive benefits package that includes: medical, dental, vision, life and disability insurance, 401(k) retirement plan, flexible spending & health savings account, paid holidays, paid time off, and other company benefits.
San Jose pay range
$104,000 - $130,000 USD
