VP Operations & Project Management
The VP Operations & Project Management role is responsible for delivery excellence and execution, supporting and reporting into the KISQALI SPOC. This is an agency-based role and is client facing. The VP O&PM will keep NVS & agencies abreast of key milestones and guide orchestration across indications, customers and functions. They are also responsible for ensuring NVS processes, workflow and needs are considered and that agencies are set up to deliver on those needs appropriately and efficiently.
Strategy and Orchestration:
• Facilitates a 30k foot orchestration across indications & customers, incorporating input from agency PMs, AM, Ops Leads, and client stakeholders
• Collaborates with agency AM/PMs to adjust and accommodate the “larger picture” from a project scope perspective
• Oversees timelines and enables a clear line of sight into the progress of all initiatives within a single view
• Identifies and proactively manages potential risks across all efforts, supporting agency PMs in developing mitigation strategies as necessary
• Maps workstream dependencies and their interconnectedness, including those involving media partners
• Ensure alignment of key milestone timing between Novartis and Agencies and collaborate with agencies to ensure tactics are progressing as needed
Account Communication Support:
• Generates a weekly communication to disseminate across the program stakeholder team
• Communicates across agency stakeholders to ensure all NVS deadlines are being met (eg, TactPlan)
• Attends weekly leadership meetings, sharing updates or priority gaps & keeps OMC SPOC abreast of key developments
• Dotted line relationship with agency account & PM teams Novartis & Agency Workflow Management:
• Ensures NVS processes, workflow, and needs are always considered and prioritized across program execution
• Partners with cross-functional team to optimize ways-of-working with Novartis, including:
• Best practices for ongoing and consistent updates of TactPlan
• Project excellence and execution within deliverable model, including potential pilots of new ways-of-working
• Establishes a relationship with the NVS extended team (eg, GBS, CXPO) to understand their processes, deadlines, and how these feed into the project's work
• Develops relationships with MODE and CA&PE teams
• Collaborates with the AM/PM/Ops teams to establish efficient communication and meeting cadence between NVS Ops and internal agency teams
Client Management:
• Supports client stakeholders by producing client-friendly macro milestones and regular communications in support of engagement objectives
• Facilitates Quarterly “Clean Up” sessions across functions and maintains decision rubric and prioritization key for new tactics
• As needed, shares tactics and priorities across KISQALI brand team Resource Management:
• Highlights macro workflow trends, potential bottlenecks, and other considerations, both internally (e.g., staffing, etc.) and externally (e.g., Medical, Legal, Regulatory, etc.)
• Monitors program throughput and scope to help SPOC & Agency Leadership determine when teams need to increase or reduce team staffing
• Manages team organizational charts and stakeholder maps Training and Continuous Improvement:
• Manages and/or develops knowledge management and training materials to be leveraged by the broader Novartis team
• As needed, facilitates management of change from a program and organizational perspective (internal and external)
• Creates onboarding training for team members to understand NVS processes
• Operations Lead to distribute to new team members as needed
• Regularly reviews and refines processes, tools, and standards based on lessons learned and changes in the broader PMO
• Codifies knowledge transfer in processes and universally distributes methods, tools, and template
Salary Range - $117,000-$191,500
