Tenant Experience and Engagement Coordinator

Cambridge, MA

BioMed Realty is seeking an enthusiastic and highly organized professional to lead event coordination and programming that bring our East Coast campuses to life. Serving as a community ambassador, this role connects tenants and stakeholders through engaging events, strong partnerships, and seamless execution, with a focus on vendor management, budgeting, and event marketing to enhance the overall campus experience.

What You’ll Do

  • Coordinate and oversee East Coast portfolio activations in close collaboration with the Tenant Experience and Activations Manager and the operations teams by: coordinating janitorial set-up and support before, during, and after events; scheduling and directing security and IT support; meeting vendors on-site during the planning process and event execution; facilitating digital and print marketing; and managing event contracts and certificates of insurance.
  • Managing event budgets and tracking expenses associated with all campus activations in close collaboration with the Tenant Experience and Activation Manager.
  • Grow participation in campus activations by tracking attendance at events and strategically marketing events in collaboration with the Social Media Manager, Marketing team, PR agency, COVE, operations teams, and through direct word-of-mouth.
  • Maintain relationships with tenants, retailers, residential property managers, and the various stakeholder groups for each property/campus by meeting with select groups regularly, sharing campus news and event updates to build community and grow participating in on building/campus activations.
  • Manage and track Certificates of Insurance for tenants and vendors/contractors for event related vendors, as well as other Operations vendors as needed.
  • Responsible for notifying and coordinating Landlord’s planned activations with tenants via Cove and other media outlets with heavy collaboration with our social media manager.
  • Maintain Cove property sites and campus websites to ensure accurate and current information about re-occurring events, upcoming events, campus amenities and neighborhood attractions.
  • Assist operations teams with the following duties as needed: purchase order generation, tracking, invoice coding, approvals, management of accounts payable for event- related expenses.
  • Manage event supply, event photography, and marketing material inventories associated with each campus.
  • Track Sustainability initiatives and statistics for events, space donations and monetary donations.
  • Perform related duties as assigned by supervisor.
  • Maintain compliance with all company policies and procedures.

Experience & Qualifications

  • Experience in administrative or functional coordination and a passion for working with people and events are required, with workplace or tenant experience event planning strongly preferred.
  • BS/BA degree or an equivalent combination of education, training and experience.

  • Attention to Detail – demonstrates a thorough and detailed method of working to ensure accuracy and delegation of thorough process/task instructions to relevant stakeholders

Salary: $28.00 - $35.00 per hour + bonus + benefits
