About the Role

Bios Life is seeking an experienced Virtual Clinic Operations Manager to build, manage, and scale the operational infrastructure supporting our virtual clinical care model.

This is a hands-on role for someone who has operated in a growing virtual care, telehealth, or digital health environment and understands what is required to scale clinical operations without sacrificing patient experience, quality, compliance, or efficiency.

The ideal candidate has helped a virtual clinic grow before and can bring that experience to Bios Life. We are looking for someone who can see around corners, identify potential operational bottlenecks before they occur, and build the processes, systems, workflows, and metrics that allow our clinical organization to scale successfully.

What You'll Do

  • Own the day-to-day operations of the virtual clinic, ensuring a seamless experience for patients, providers, and the broader care team.

  • Develop and continuously improve scalable workflows across the patient journey, including scheduling, onboarding, care delivery, follow-up, and escalation.

  • Build the operational infrastructure needed to support increasing patient and provider volume.

  • Anticipate capacity constraints and operational bottlenecks and develop solutions before they impact care delivery or patient experience.

  • Partner with clinical leadership to ensure appropriate provider capacity, scheduling, coverage, and resource allocation.

  • Establish and monitor key operational metrics, including patient volume, appointment availability, visit completion, no-show rates, provider utilization, turnaround times, and patient experience.

  • Develop SOPs, playbooks, and standardized processes that enable consistent execution as the organization grows.

  • Partner closely with Clinical, Product, Technology, HR, Finance, and other teams to translate clinical needs into scalable operational solutions.

  • Optimize the use of the EMR and other clinical technology platforms to improve workflows and reduce unnecessary manual work.

  • Support the onboarding and operational readiness of new clinicians and clinical team members.

  • Identify opportunities to automate, streamline, and improve clinical operations.

  • Establish clear escalation pathways and ensure operational issues are resolved quickly and appropriately.

  • Partner with clinical and compliance leadership to ensure operations meet applicable regulatory, privacy, documentation, and quality requirements.

  • Support the launch of new programs, services, markets, or clinical offerings as Bios Life expands.

  • Build and manage the clinic operations team as organizational needs evolve.

What We're Looking For

  • 5+ years of experience in healthcare or clinical operations, ideally within virtual care, telehealth, or digital health.

  • Direct experience helping scale a virtual clinic or virtual care delivery model strongly preferred.

  • Demonstrated ability to build processes and infrastructure in a high-growth or rapidly changing environment.

  • Strong understanding of virtual patient journeys, provider operations, scheduling, capacity planning, and clinical workflows.

  • Experience working with EMR/EHR systems and virtual care technology.

  • Strong analytical skills and experience using operational data and KPIs to identify problems and drive decisions.

  • Demonstrated ability to identify operational risks and bottlenecks before they become significant problems.

  • Experience developing SOPs, workflows, playbooks, and scalable processes.

  • Strong project management and cross-functional collaboration skills.

  • Comfortable operating in ambiguity and building structure where it does not yet exist.

  • Excellent judgment, communication, and problem-solving skills.

  • Startup or high-growth healthcare experience strongly preferred.

  • Bachelor's degree or equivalent relevant experience.

What Success Looks Like

Within the first year, this person will have helped Bios Life move from a virtual clinic that relies heavily on individual knowledge and manual coordination to a repeatable, measurable, scalable operating model.
