Executive Assistant
Job Summary
Excelling at both the big picture and the fine print, this Executive Assistant plays a critical role in helping our Managing Director of Capital Markets stay focused on what matters most: serving investors and acquiring properties. They coordinate complex calendars, plan travel, prepare materials for meetings, and manage confidential information with care, bringing clarity and structure to a fast-moving environment. Proactive, thoughtful, and decisive, they stay several steps ahead—with a constant eye on the details. Responsibilities
- Prioritize and manage the Executive’s calendar and inbox
- Tackle “blockers” that interrupt the Executive's schedule
- Keep the Executive’s goals on track by leading weekly and daily meetings to monitor progress
- Screen visitors, phone calls, emails, and mail
- Prepare meeting logistics, agendas, and travel
- Keep rigorous documentation for project management
- Provide support for broader organizations or board memberships (charitable, professional, civic, faith-based)
- Manage investor databases (AppFolio Investment Manager, HubSpot) and maintain organized records, including legal documents and investor interactions.
- Support investor communications by tracking engagement, responding to inquiries, and scheduling meetings.
- Coordinate with legal partners to ensure up-to-date fundraising documentation is filed and accessible.
- Develop and implement systems for more effective work
- Transcribe and distribute notes
- Plan and host events
- Adhere to deadlines and budgets by proactively delegating and executing tasks
- Handle administrative responsibilities such as submitting expense reports
- Provide administrative support to departmental or cross-functional teams as requested
- Other duties as assigned to help Birgo improve lives through real estate

Other Requirements
- Able to use a computer for a full workday
- Valid driver’s license and reliable personal transportation
- Eligible for Work From Home with the expectation of attending in-person meetings at Birgo’s Pittsburgh office 1-3 days per week (Must be based in Pittsburgh, PA)
