Facilities Assistant - Facilities and Security Systems Administration Role

Security System Administration

  • Acts as the Security System owner – Ensures Security System is functioning and properly trouble shoot issues.
  • Responds to Security system alarms, incidents and emergencies
  • Creates all new badges, sets access levels per approval and ensures termination of all old badges.
  • Creates Monthly Office Utilization Reports

Assistance with Facilities Procurement

  • Assists with onboarding new vendors into the PO System
  • Creates Purchase Orders as needed

Shipping and Receiving Packages and Mail

  • Manages the Fed Ex contract relationship with Fed EX account manager, assists with lost packages and ordering Fed EX supplies as needed.
  • Receives and logs all packages and mail notifies recipient of package arrival.
  • Coordinates the distribution of mail and packages to employees.
  • Creates shipping labels and ships packages as required
  • Maintains and distributes a small postage supply
  • Creates all new badges, sets access levels per approval and ensures termination of all old badges.
  • Creates Monthly Office Utilization Reports
  • All other duties/projects as assigned

 

Welcome and Reception Duties

  • Most of the time is spent sitting at the front desk
  • Answering voicemail and e-mail queries from employees and customers in a concise and professional manner
  • Welcome and direct callers appropriately acting as first line of customer service if required
  • Direct callers to the correct person or department and keeping records of calls and messages
  • Take ownership of the housekeeping within the reception area keeping the area clean and tidy

Visitor Management

  • Meet and greet all visitors, customers, vendors and candidates and portray a professional image.
  • Ensure all visitors record their details in the visitors register including name, date and time and receive a visitors’ badge identifying them as a visitor.
  • Notify company personnel of visitors arrival and request they escort guests
  • Create and Distribute visitor access badges as needed
  • Assistance with typing notices and data capturing

Provides Assistance with Events:

  • Assist with receiving any catering and assisting with setting up Café area and other meeting spaces for events and presentations as needed
  • May need to place catering orders for events as needed

Qualifications

3 to 5 years of experience working in a facilities operation’s role

Problem Solving Abilities

Ability to respond to alarm notifications

Occasionally work flexible hours

 

 

Pay Range

$50,000 - $75,000 USD
