About the Role
As a Workplace Experience Coordinator at Blacklane, you’ll play a pivotal role in ensuring our Berlin office runs seamlessly, efficiently, and reflects the excellence our brand stands for.
By collaborating across teams, managing day-to-day operations, and fostering a welcoming environment for employees and guests alike, you’ll help create a workspace where people feel supported, comfortable, and inspired to do their best work.
This is an on-site role, based in our Berlin office five days a week, as your presence is key to maintaining an outstanding workplace experience.
Your Impact and Responsibilities
At Blacklane, we measure success by the meaningful change that each team member creates.
In this role, you’ll:
- Oversee the smooth daily running of the Berlin office, from facilities and vendors to the overall workplace experience, ensuring everything is in order and ready for use.
- Take ownership of the office environment, ensuring spaces are always organized, presentable, and reflective of Blacklane’s high standards.
- Coordinate maintenance, safety protocols, and compliance (including ASA), ensuring our workplace meets operational and regulatory excellence.
- Manage supplies, inventories, and equipment logistics to keep the office fully functional and well-stocked.
- Ensure the Office ticket system is managed, ensuring timely follow-up and resolution.
- Assist in the setup and smooth execution of internal events, meetings, and workshops that connect and engage our teams.
- Act as an ambassador, ensuring every visitor, partner, and colleague experiences Blacklane’s core values from the moment they step into the office.
Your First-Year Roadmap
3 months:
Get to know the Blacklane culture, tools, and routines. Build trust with key stakeholders and start taking ownership of day-to-day office coordination.
6 months:
Run daily operations with confidence and autonomy. Introduce small improvements that boost efficiency, safety, and the employee experience. Take responsibility for projects that elevate how the office feels and functions.
12 months:
Be recognized as the go-to person for everything office- and experience-related. Streamline workflows, optimize vendor management, and contribute strategically to People & Culture initiatives that shape our workplace.
About You
You’ll thrive in this role if you’re a hands-on, organized, and people-oriented professional who takes pride in keeping spaces running smoothly and looking their best.
- You bring hands-on experience in managing or supporting on-site environments, ideally in workplaces, hotels, clinics, coworking spaces, or other customer-facing settings where service, organization, and attention to detail are key.
- You communicate clearly and confidently in German and English.
- You care deeply about people and service, you create a warm, professional atmosphere where everyone feels welcome.
- You’re proactive and dependable when you see something that needs attention, you act on it without being asked.
- You focus on details and follow through, ensuring the office always looks and operates at its best.
- You stay calm under pressure and manage multiple priorities with ease.
- You have strong interpersonal skills.
- You’re tech-savvy, comfortable with tools like Jira, Slack, and Google Workspace, and quick to learn new systems.
- You naturally reflect Blacklane’s values (Care, Drive and Excellence) in how you work, support others, and represent the company.
