SUMMARY

We are seeking a highly professional, proactive, and resourceful Manager, Business Operations to join the CEO office, partnering directly with the Chief Executive Officer (CEO) and Chief of Staff (CoS). This is a pivotal role for a confident, discreet, and highly organized professional who thrives in a fast-paced, high-stakes environment. You will serve as a trusted partner to the CEO and CoS, ensuring smooth operations, enabling executive focus on strategic priorities, and contributing to the effectiveness of the broader organization. This individual will balance executing critical CEO Office initiatives and projects with traditional executive support.  This is a full-time hybrid position (4 days a week) in our Somerville – Assembly Row, Massachusetts office.

BUSINESS OPERATIONS RESPONSIBILITIES

  • Partner with the CoS to drive and manage externally facing corporate communications (corporate website, social medias, press releases)
  • Take ownership of ad-hoc initiatives that enhance leadership effectiveness
  • Partner with the CoS to provide project management for critical cross-functional projects
  • Identify bottlenecks and enable solutions to improve efficiency of the executive team
  • Support company-wide communications, including the coordination of Town Hall meetings and announcements from the CEO office
  • Partner across functions to identify and implement initiatives to enhance the office experience
  • Prepare, review, and edit confidential documents, presentations, and correspondence
  • Maintain CEO Office and executive team organization via web-based tools (SharePoint, Teams, Box)
  • Maintain alignment of executive communications with company values, strategic objectives, & cultural priorities
  • Keep the CEO Office informed of relevant industry news

EXECUTIVE SUPPORT RESPONSIBILITIES

  • Provide comprehensive executive support to the CEO and CoS, including complex calendar management, travel coordination, and expense reporting
  • Serve as a key liaison between CEO office and internal/external stakeholders (Board of Directors, senior leadership, key partners)
  • Anticipate needs and proactively resolve corporate agenda, scheduling, logistical, or administrative challenges
  • Ensure CEO Office is briefed and prepared for meetings, with agendas, pre-reads, and background materials
  • Support Board of Directors’ activities, including scheduling, material coordination, and meeting logistics
  • Manage highly confidential and sensitive information with discretion and professionalism
  • Drive follow-up and accountability on action items across leadership team priorities

QUALIFICATIONS

  • Bachelor’s degree preferred and minimum of 5 years of experience as an Executive Assistant, Project Manager, or Business Ops Manager working directly with C-level executives in biotech, pharma, healthcare.
  • Proven success supporting senior leaders through a period of high change, transformation, or growth
  • Strong organizational skills with exceptional attention to detail and ability to manage competing priorities
  • Excellent written and verbal communication skills; able to represent the CEO and company with professionalism
  • High emotional intelligence, sound judgment, and ability to build trust quickly
  • Strong proficiency in Microsoft Office Suite, virtual collaboration tools (Zoom, Teams)
  • Project management experience is a plus
  • Flexibility to adjust schedule and priorities to support the CEO Office Needs
