Position Description
Bluebird Kids Health is seeking a dedicated Medical Records Specialist to ensure timely, efficient, and compliant management of patient health records. This role is responsible for processing requests for medical records, performing release of information (ROI) activities, accurately filing incoming health information into the electronic health record (EHR), and collaborating with patients, requestor and vendor partners to support health information management. Reporting to the CARES Center Operations Manager, this position plays a key role in making sure our care teams have complete and accurate health information to support clinical decision-making and deliver coordinated, high-quality care to the children and families we serve.
What You’ll Do
Medical Record Requests and Release of Information (ROI)
• Receive, verify and initiate processing of all requests for medical records in accordance with HIPAA, applicate state and federal regulations, and organizational policies.
• Collaborate with ROI vendor partner to ensure requests are fulfilled within required processing times.
• Monitor vendor partner performance, address escalations, and ensure requests meet regulatory and internal compliance standards.
• Escalate vendor concerns, delays or compliance issues to the Operations Manager or Compliance team
• Provide timely, efficient responses to ensure patients' needs are addressed through their preferred communication method.
• Proactively initiate outbound engagement to follow up on inquiries or messages, ensuring continued patient support and timely resolution of concerns.
Collaboration and Communication
• Escalate legal requests (ex: subpoenas, court orders, requests from attorney offices) to the Legal and Compliance team for review and approval prior to processing ROI
• Partner with internal teams to ensure medical record-related workflows are completed timely and accurately.
• Collaborate with requestors, patients and vendor partners to resolve inquiries regarding release or request for medical records.
Quality and Compliance
• Safeguard the privacy and security of protected health information (PHI) at all times
• Adhere to HIPAA requirements and organizational policies and procedures
• Support audit readiness through complete and accurate documentation of disclosures of health information
• Participate in process improvement initiatives related to health information management and ROI workflows

What You’ll Need
• High School diploma or equivalent
• 1-2 years of experience in healthcare health information management
• Strong understanding of HIPAA regulations and patient privacy requirements
• Excellent organization and time-management skills to effectively manage multiple tasks simultaneously
• Proficiency in using multiple technology platforms including but not limited to, electronic health records (EHRs), digital patient engagement tools and productivity tools
