Executive Assistant, Human Resources

This pivotal role is integral to our mission-driven, results-oriented, and community-focused environment, serving as a key member of the Human Resources team.

 

You will significantly enhance HR’s impact and value delivered to Blueprint by proactively facilitating organization and expertly building and nurturing relationships across our global business and with external stakeholders. This will promote a deep understanding of HR programs while fostering a strong sense of social connectedness and team spirit. Reporting directly to the Chief People Officer and supporting the Human Resources leadership team, you will be essential in deploying our HR strategy, driving HR initiatives, and advancing our business objectives. Your exceptional collaboration, strategic support, and organizational excellence will be crucial in enhancing the effectiveness and efficiency of our Human Resource leaders and the function.

 

What will you do?

  • Act as a strategic productivity partner by adeptly managing complex and dynamic senior leader schedules and proactively anticipating the needs of the Chief People Officer (CPO) and three additional global senior HR leaders as well as cross-global coordination with an additional senior HR leader based in Europe
  • Expertly manage dynamic executive calendars (in collaboration with administrative peers) to ensure seamless coordination across internal and external meetings. Anticipate and address future meeting needs based on work priorities, calendar trends and travel schedules, aligning functional priorities with meeting requests to optimize overall workflow and communication.
  • Serve as the central hub for the HR function by meticulously organizing and centralizing documentation and information for easy access and transparency while acting as a go-to resource ensuring timely and secure handling of sensitive and confidential materials. Guide team members to relevant resources, collaborate on evolving information flow processes, and oversee all aspects of departmental information management to enhance efficiency and coordination.
  • Act as a key brand ambassador and representative for the Human Resources function and Blueprint Medicines, embodying and promoting the organization’s values and culture in all communications, events, and interactions with internal stakeholders and external partners.
  • Prioritize, plan, and execute high-impact strategic and special projects, including preparation of presentations, organization of events, coordination of offsite meetings, and facilitation of team activities.
  • Gather data from multiple stakeholders and consolidate it into well-organized information packages to support senior leadership and Board of Directors meetings, ensuring thorough preparation and alignment with organizational objectives and deadlines.
  • Plan and organize data to create and prepare meeting materials, correspondence, agendas, meeting minutes, and resolutions. Develop and maintain comprehensive trackers to oversee and manage post-meeting actions, ensuring thorough follow-up and effective pull-through of key outcomes.
  • Collaborate cross-functionally to effectively manage PO submittals, contract administration, and invoice processing while serving as the liaison to the external vendor.
  • Ensure the precise and timely initiation of expense reports, directly connecting expenses to budgetary guidelines and implement a rigorous tracking system to monitor expenditures, ensuring budget adherence, and financial accuracy in partnership with Financial Planning & Analysis partner.
  • Strategically plan travel itineraries considering travel time, time zones and locations to optimize efficiency and then manage all corresponding travel logistics including, at time, visas and other travel documentation as well as unexpected changes with exceptional accuracy.
  • Apply critical thinking and a “one team” mindset to connect information across teams, offering innovative solutions and creative ideas to address gaps or challenges, enhancing overall team cohesion and performance.
  • Independently manage projects from conception to completion with a high level of discretion, practical judgment, and technical expertise when needed, leveraging a deep understanding of the company in close partnership with CPO and other functions.
  • Serve as a member of the Administrative team, actively participating in and contributing to regular Administrative Team meetings by suggesting agenda topics, leading or engaging in discussion topics, and collaborating with peers on HR annual cycles and employee programs.
  • Demonstrate adaptability and a proactive attitude by willingly contributing to ad-hoc company initiatives and supporting diverse projects in parallel with each other as needed.

 

What minimum qualifications do we require?

  • Minimum 10 years of experience as an executive assistant or related role in a high-growth, fast-paced environment is required (preferably working in partnership with CPO/CHRO or C-Suite).
  • Strong technical aptitude with exceptional skills to enable a hybrid way of working, including proficiency in video conferencing/hybrid-meeting set-up, Power Point, Excel, Word, Outlook, Access or other database and platform systems.

 

What additional qualifications will make you a stronger candidate?

  • Experience in HR function and understanding of HR programs and processes strongly preferred.
  • Experience with HR software platforms and reporting tools preferred.
  • Proactive self-starter with a demonstrated talent for building and nurturing relationships, excelling in fostering strong connections and driving collaborative efforts through exceptional commitment, ownership, and teamwork.

  • Acts as a trusted advisor with a high degree of tact, diplomacy, judgment, and discretion at all employee levels, while handling sensitive information with confidentiality and the utmost integrity.
  • Consistently meet deadlines and prioritize assignments while juggling multiple tasks in a fast-paced, complex environment, demonstrating strong attention to detail that enhances clarity and organization for others.
  • A collaborative communicator who engages openly and transparently, delivering clear, comprehensive, and timely information while actively listening and encouraging meaningful dialogue and feedback.
  • Demonstrated ability to creatively develop and deliver compelling content and communication that effectively build awareness and drive action, leveraging innovative approaches to engage diverse audiences.
