International Medical Affairs & HR Coordinator

Position type: Temporary Worker; office based with BlueFlex model*(3 days per week in office)

Reporting Line: The position reports solidly into the International VP Medical Affairs and dotted into the International VP Human Resources

 

How will your role help us transform hope into reality?

This position is set to be an operational coordinator role supporting the International Medical Affairs team (50%) and International Human Resources team (50%) reporting directly to the Head of INT Medical Affairs and dotted to the Head of INT HR. 

For both departments, the incumbent will provide support to a broad range of activities essential for the seamless execution of the International Medical Affairs and International Human Resources activities. The Coordinator has responsibilities covering meeting management, events logistical coordination, budget- PO- and contracts management, vendor management, and onboarding of new staff.  When required, the position will also provide support to the Medical Affairs departments in countries.

The successful applicant will be highly organized with good project management skills, strong attention to detail and will possess an understanding of field medical operations, HR processes, event planning, finance operations and budget tracking.

 

What will you do?

Responsibilities of this position involve the day-to-day support of International Medical Affairs and International Human Resources activities in collaboration with a dynamic cross-functional team across multiple countries.

 

  • Provide administrative support to the VP International Medical Affairs & Human Resources
  • Coordinate/Organize internal meetings for the respective departments (virtual and F2F)
  • Coordinate the raising and tracking of purchase orders and associated engagement agreements
  • Working closely with Accounts Payable to manage invoicing receipt and reconciliation
  • Single point of contact for the coordination of the uploading and review of medical materials according to system workflows
  • Working with the preferred vendor, manage ordering, inventory, distribution, and retrieval of Regional and Local Medical field materials
  • With input from relevant internal stakeholders, project manage internal (e.g. department offsite) and external (e.g. advisory board) meetings as well as provide support to key medical country activities after internal agreement
  • In partnership with the INT and global HR team support onboarding and offboarding activities for new joiners and employees, and working closely with onboarding manager, to develop and track onboarding plans for new employees, as well as assist with required system access
  • Oversees and executes on regular HR operations tasks to drive operational excellence, such as process documentation, budget and head count preparation and organizational charts
  • Drive and support in HR projects, such as monthly HR Open Doors concept or internal INT HR homepage 

 

What minimum qualifications do we require?

  • Bachelor’s degree or Diploma in business and/or science with 3-5 years of related experience within the pharmaceutical industry.
  • Experience in field medical operations, event planning, finance operations and budget tracking
  • High level of proficiency with Microsoft Word, Excel, Outlook, Teams and Powerpoint
  • Experience in vendor engagement and oversight required
  • Familiarity with the role of country affiliates
