General Description
Reporting to the Operations Manager, the Coordinator will assist with operations data entry functions. The Coordinator will work with the Operations team to complete projects and/or provide support in the areas of maintaining rosters, composing newsletters, and various Operations Requests. Operations Requests may include purchasing, filing, research, data entry, warehouse support, and record keeping. This is an entry level position.
Key Job Functions
- Data entry, maintaining employee files in Box
- Assists in coordinating staff email communications, Zoom calls and in-person meetings, travel arrangements, internal calls
- Support the Operations Manager with Blue Star Bulletin (organization’s newsletter).
- Contracts/MOU filing
- Pulling documents from Ops Requests (ie. expense claims, invoices, etc.) and prepare them for Operations Manager to review
- Preparing purchases (supplies, print materials) for Operations Manager to Review
- Supporting Warehouse Manager
- Other duties as assigned
Required Experience, Skills, and Background
- One year of related work experience or an equivalent combination of education and experience
- Ability to work both independently and collaboratively
- Ability to produce high-quality work on deadline; comfortable managing multiple projects, priorities and deadlines in a fast-paced environment
- Strong attention to detail
- High degree of discretion and confidentiality
- Strong writing and communication skills; demonstrated knowledge of professional correspondence
- Working knowledge of Google Apps, and CRM systems (Salesforce preferred)
- Flexibility with work schedule to support staff and deadlines
- Proficiency in Microsoft Office and Google suite
- Experience and/or comfort working in a virtual environment
- Commitment to the highest standards of professionalism
- Limited out-of-town travel is required.
- May be required to work nights, weekends, and holidays as necessary to carry out key job functions.
- Ability to lift and carry supplies and equipment up to 30 lbs
Desired Experience, Skills, and Background
- Current enrollment or undergraduate degree program with an interest and aptitude to work in
- Non-profit management/administrative fields;
- Experience with membership-driven organizations
- Familiarity with military community
