General Description
We are seeking a dedicated individual to join the Impact team at Blue Star Families (BSF). In this role, you will help ensure the success of initiatives that directly, positively impact military families by effectively managing the Chief Impact Officer’s (CIO) time, supporting collaboration within the Impact team (Programs, Applied Research, Digital Innovation, and Chapters), and across the organization in order to achieve shared goals and success.
The Impact Coordinator (IC) will provide administrative coordination for the CIO and assist in coordinating the Impact pillar under the direction of the Director of Social Impact (DSI). IC will oversee day-to-day administrative tasks, including managing the CIO’s calendar, CRM management, and supporting communication and collaboration within the team.
*Although this is a remote position, the Impact Coordinator will ideally work Eastern Standard Time (EST) business hours.
Key Job Functions
- Manage and optimize the CIO’s calendar to ensure efficient time allocation, effective calendar deconfliction, and prioritization of key tasks
- Coordinate internal and external meetings/calls
- Prepare meeting agendas, take minutes, and follow up on action items as necessary
- Assist with project management tracking and coordination, including working with DSI to maintain a list of action items and delegated tasks
- Coordinate special projects, research, and initiatives
- Create and maintain records within Customer Relationship Management (CRM) systems
- Facilitate operations requests as needed, including invoices, expenses, and maintaining team listservs
- Coordinate materials and/or draft reports, emails, presentations, and other communications for use by the Social Impact team, in coordination with the CIO and DSI
- Participate in strategic meeting and event planning in coordination with the CIO and DSI
- Act as a point-of-access between the organization and the Social Impact function, fostering effective communication and collaboration
- Maintain a professional and courteous demeanor when dealing with all stakeholders, both internal and external
- Multi-task, understand priorities, and balance workload to ensure tasks are completed on time
- Take on other responsibilities as determined by demand, expertise, and interest
- Perform other duties as assigned
Required Experience, Skills, Background
- 2-4 years of related experience supporting a busy principal and team
- Bachelor’s degree or commensurate work experience
- Agile, dynamic thinker and self-starter
- Proficiency with Google Workspace, or ability to learn quickly
- Familiarity with Salesforce and Project Management Software, or ability to learn quickly
- Excellent written and verbal communication skills
- Excellent attention to detail and appetite to create systems and processes that enable good work
- Maintains focus and goal-oriented-optimism while handling adversity and demonstrating ability to solve problems quickly and effectively
- Experience handling ambiguity; ability to make informed decisions that are in the best interest of the organization
- May be required to work nights, weekends, and holidays as necessary to carry out key job functions and occasional out-of-town, overnight travel may be required several times annually
- Ability to lift and carry supplies and equipment up to 30 lbs

- Experience working in a member services and/or non-profit organization
- Familiarity with Salesforce
- Familiarity of or interest in the military family experience
