General Description
The Chapter Operations Manager provides administrative and operational support to the EVP of Chapter Impact & Outposts and the broader chapter leadership team. This role is responsible for managing essential administrative tasks, internal communications, document coordination, and logistical support. This role is designed to ensure smooth day-to-day operations across the department. The Chapter Operations Manager plays a key behind-the-scenes role in supporting high-functioning, mission-aligned chapter operations nationwide.
As a fully remote organization, we rely on scheduled in-person gatherings to foster alignment, collaboration, and organizational culture. This role requires the ability to travel out of town overnight several times per year for staff offsites, planning retreats, and company-wide events. These gatherings are essential for connection, brainstorming, and staying strategically aligned across teams. Participation is required as a core part of the role.
Key Job Functions
- Manage calendars, scheduling, and communications for the EVP and chapter leadership meetings.
- Track deadlines, manage recurring check-ins, and organize internal documentation across chapter initiatives.
- Prepare meeting notes, follow-up tasks, and ensure completion of action items across chapter teams.
- Ensure the timely and accurate execution of all chapter-related deadlines and reporting requirements.
- Develop, format, and prepare high-quality presentation decks, briefings, marketing and impact collateral, toolkits, and visual materials for executive-level meetings, stakeholder updates, and internal reports.
- Assist with drafting and editing written updates, memos, or talking points for leadership communications.
- Support the creation and maintenance of document libraries and resource folders for toolkits and templates
- Create and disseminate regular communications to the Chapter Impact team and chapter leaders (e.g., memos, emails).
- Maintain internal assist with formatting and proofreading of internal communications
- Accurately enter and maintain data related to chapter operations and partnerships in Salesforce.
- Perform basic reporting and data hygiene to ensure data consistency and usefulness.
- Coordinate with national teams to align Salesforce inputs with chapter needs.
- Send calendar invites and welcome packets for new Chapter/Outpost staff
- Coordinate scheduling of onboarding meetings.
- Provide basic support for virtual logistics (e.g., setting up Zoom links, confirming calendar invites).
- Process chapter supply orders using established systems.
- Perform other duties as assigned.
Required Experience, Skills, Background
- 2-4 years of related experience
- Bachelor’s degree or commensurate work experience
- Agile, dynamic thinker and self-starter
- Proficiency in Google Workspace, Microsoft Office, and Salesforce (or CRM equivalent).
- Strong written and verbal communication skills.
- High attention to detail and ability to manage multiple priorities.
- Excellent organizational and time management skills
- Discretion and professionalism with sensitive information.
- May be required to work nights, weekends, and holidays as necessary to carry out key job functions.
- Occasional out-of-town, overnight travel is required, up to several times annually
- Ability to lift and carry supplies and equipment up to 30 lbs
Desired Experience, Skills & Background
- Familiarity with Canva or similar design tools for presentations.
- Experience working in a remote/virtual team
- Experience providing support to C-Suite/Executive level individuals
- Experience working in a member services and/or non-profit organization
- Familiarity of or interest in the military family experience
