About the Role

We are seeking a strategic, data-driven, and tech-savvy Recruiter Project Manager to oversee the operational execution of our recruiting engine and ensure high-volume, fast-turnaround talent delivery. Working across sourcing, data operations, recruiter performance, and workflow optimization, this role is pivotal to meeting—and exceeding—our clients’ expectations.

You will be a key contributor to sourcing optimization and workflow design, playing a vital role in managing our ATS, defining KPIs, tracking recruiter performance, and applying automation and AI solutions to improve how we scale. This role is ideal for someone who thrives in a systems-oriented environment and enjoys using technology to streamline processes, improve data accuracy, and boost recruiter productivity.

Key Responsibilities

Project Management & Recruiting Operations

  • Oversee the full recruiting lifecycle across multiple clients, ensuring consistency, speed, and high-quality talent delivery.
  • Serve as the main project owner for mandate allocation and completion timelines—set clear expectations, remove blockers, and optimize outcomes.
  • Manage our Greenhouse ATS platform: ensure best practices in funnel management, screening, and candidate data hygiene.
  • Build scalable workflows to centralize screening, interviewer scorecards, and candidate feedback loops.
  • Allocate mandates to recruiters and define realistic time-to-fill targets.

Sourcing Strategy & Data Optimization

  • Take ownership of sourcing optimization—use scraping, automation, and platform integration to pull candidates from multiple sources based on job descriptions and key terms.
  • Continuously improve and streamline sourcing pipelines using AI and automation tools like Apify, Zapier, or Make.
  • Be the go-to expert on using data to inform sourcing channels, targeting, and performance improvements.
  • Scrape and clean candidate data from job boards, social media, and databases.

Analytics & KPI Tracking

  • Design and maintain dashboards to track recruiter performance and funnel health (e.g., time-to-fill, conversion rates, source effectiveness).
  • Define and enforce core recruiting KPIs, and hold the team accountable to them.
  • Support the ongoing management and quality of our Active Virtual Bench (VB) for pre-vetted candidates.
  • Use Power BI and other analytics platforms to generate insights and recommend process changes.

Technology, AI & Automation

  • Introduce and integrate new tools that drive efficiency and scale: from AI matching to recruiter automation.
  • Implement and manage automation workflows through tools like Zapier and Make to reduce manual tasks.
  • Ensure all systems and tools are optimized for recruiter performance and client delivery.

Qualifications

Must-Haves

  • 4–8+ years of experience in Recruiting Operations, Project Management, or Talent Delivery Strategy.
  • Strong hands-on experience managing an ATS (Greenhouse preferred).
  • Advanced skills in sourcing tools: LinkedIn Recruiter, job boards, scraping tools, etc.
  • Proficiency in workflow automation (Zapier, Make, or similar) and integration of third-party apps via API.
  • Fluent in Python and/or Java for custom automation or process scripting.
  • Proficiency in data visualization and reporting tools (Power BI preferred).
  • Exceptional organizational and problem-solving skills, with an ownership mindset.
  • Strong communication and collaboration skills across cross-functional teams.

Nice-to-Haves

  • Experience leading sourcing automation and scraping projects.
  • Background in high-volume recruiting environments or BPO.
  • Familiarity with AI applications in recruiting (e.g., screening automation, matching algorithms).
  • Track record of building and scaling performance-based recruiting operations.
