
Operations Virtual Assistant
Job Summary
We are seeking a highly organized, detail-oriented, and proactive Operations Virtual Assistant to help streamline our workflows, manage systems, and keep projects running smoothly.
In this role, you will take ownership of our project management tools (such as Asana, Monday.com, or Notion) to organize priorities, tasks, and deliverables across the team. You’ll also create and maintain CRMs, spreadsheets, and documentation systems that improve efficiency, accountability, and visibility across all operations.
This position is ideal for someone who thrives on structure, enjoys organizing chaos into order, and isn’t afraid to be hands-on — from managing tools and systems to supporting daily operational needs.
Key Responsibilities
Project & Systems Management

Implement and manage project management tools (e.g., Asana, Monday.com, or Notion) to keep projects organized and on schedule.

Maintains task lists, calendars, and reports to track deadlines and team deliverables.

Build and manage simple, sustainable systems that help the team stay aligned and productive.

Support day-to-day operations including scheduling, documentation, and follow-ups.

Continuously improve internal processes and recommend efficiency tools or automations.
CRM & Data Organization

Create and manage CRMs or structured spreadsheets for tracking contacts, clients, or project data.

Keep data accurate and updated to support reporting and strategic planning.

Help standardize data entry, templates, and naming conventions for better consistency.
Collaboration & Process Support

Document workflows and SOPs for repeatable success.

Coordinate with leadership and team members to ensure priorities are clear and tasks are completed on time.

Balance structure and flexibility — ensuring systems are both efficient and adaptable.
Qualifications

2+ years of experience in operations, project coordination, or virtual assistance.

Proven experience using and managing project management tools (Asana required; Monday.com or Notion a plus).

Experience building or maintaining CRMs or tracking systems (e.g., Google Sheets, Airtable, HubSpot).

Excellent organization, time management, and communication skills.

Strong attention to detail and ability to manage multiple priorities.

Tech-savvy, resourceful, and comfortable learning new tools quickly.

Self-motivated with a problem-solving mindset and ability to work independently.

Experience supporting U.S.-based teams is a plus.
