About the Role:
We are seeking a highly organized, detail-oriented Permitting & Coordination Specialist to support our U.S.-based construction client. This role is not a general VA position—we are looking for someone with direct experience in permits, government submissions, construction documentation, and regulatory compliance, who can also coordinate effectively across multiple stakeholders.
You will oversee the permitting lifecycle for multiple U.S. construction projects, ensuring all documentation is complete, compliant, and approved on time. The ideal candidate has handled technical paperwork, coordinated with project managers, contractors, clients, and U.S. municipal authorities, and has prior experience working with U.S. or other international clients.

Key Responsibilities
U.S. Construction Permitting & Compliance
- Manage the end-to-end permitting process for U.S. residential and outdoor construction projects.
- Prepare, review, and submit complete permit application packages (architectural/engineering plans, surveys, product approvals, etc.).
- Ensure submissions comply with U.S. municipal codes, zoning regulations, and construction standards.
- Track permits from submission through approval, following up regularly with U.S. authorities.
- Communicate directly with U.S. municipal departments to clarify requirements and resolve issues.
Coordination & Stakeholder Management
- Work closely with project managers, contractors, homeowners, and internal teams to ensure smooth workflow from design to construction.
- Provide timely updates on permit status, requirements, and next steps to all stakeholders.
- Schedule inspections and ensure all documentation and jobsite requirements are accurate and complete.
- Serve as the main point of contact for all permitting-related communications between teams and U.S. authorities.
Documentation & Process Management
- Maintain organized digital records, checklists, and requirement libraries for multiple U.S. municipalities.
- Identify workflow bottlenecks and recommend improvements to streamline approvals.
- Assist in standardizing templates, documentation, and SOPs to improve efficiency.
Qualifications & Skills
- 2+ years experience in permitting, construction administration, engineering coordination, or U.S. regulatory submissions.
- Experience working with U.S. or other international clients is required.
- Familiarity with U.S. government/municipal permitting processes is strongly preferred.
- Ability to read and interpret architectural/engineering plans.
- Strong document management, tracking, and follow-up skills.
- Proficiency in Google Workspace, Microsoft Office, and digital filing systems.
- Experience with JobTread or similar construction/project tools is a plus.
- Excellent English communication skills—written and verbal.
