Commercial Interiors Order Coordinator (Remote)

About the Role

We are seeking an experienced Commercial Interiors Order Manager to manage the full lifecycle of commercial furniture orders—from approved specifications through acknowledgment and delivery. This role is ideal for professionals with direct, hands-on experience in dealer-side or manufacturer-side order processing, or A&D support closely tied to dealer ordering.

This position is highly focused on order accuracy, systems, and process execution, rather than design or sales. You will primarily use ProjectSpec and/or Khameleon to build and manage orders, while coordinating with designers, project managers, manufacturers, reps, and internal teams to ensure orders are complete, accurate, and on schedule.

The ideal candidate thrives in the details of commercial furniture ordering—specifications, finishes, SKUs, pricing, acknowledgments, and change management—and enjoys being the reliable point of coordination that keeps projects organized and moving forward.


Key Responsibilities

Order Management & Entry

  • Convert approved quotes and specifications into clean, accurate customer orders and purchase orders
  • Build, enter, and process orders using ProjectSpec and/or Khameleon as primary tools, with additional systems as required
  • Verify product specifications, finishes, SKUs, COM/COL requirements, pricing, and discounts prior to submission
  • Ensure timely order placement and track orders from purchase order through acknowledgment and shipment

Specification & Project Documentation

  • Interpret and work from project specifications created in ProjectSpec, ProjectMatrix, CET, or similar tools
  • Maintain well-organized project documentation, including POs, acknowledgments, submittals, approvals, and change orders
  • Update internal systems (Khameleon, CORE, Acumatica, etc.) with current order details, ship dates, and revisions
  • Support designers and project managers by reviewing line items for completeness and accuracy prior to ordering

Vendor & Dealer Coordination

  • Coordinate with manufacturers, reps, and vendors regarding pricing, availability, lead times, and shipping details
  • Resolve discrepancies between purchase orders and order acknowledgments, including pricing, quantities, finishes, and model numbers
  • Communicate clear, timely order status updates to designers, project managers, and account teams
  • Track orders through the full lifecycle: quote → PO → acknowledgment → shipping → delivery

Quality Control & Issue Resolution

  • Identify and correct errors in pricing, quantities, finishes, SKUs, and COM/COL details before and after order submission
  • Proactively flag risks, missing information, or constraints that may impact lead times, delivery, or installation
  • Maintain accurate, up-to-date order and shipping data across all systems and project documentation
  • Assist with resolving damages, backorders, returns, and re-orders in coordination with vendors and internal teams

Qualifications

Experience

  • 2–5 years of experience in commercial interiors, specifically in dealer-side or manufacturer-side order management, project coordination, or order administration

Technical Skills (Must Have)

  • Hands-on experience using ProjectSpec and/or Khameleon for commercial furniture order building and processing
  • Experience with at least one additional platform such as ProjectMatrix, CET, Hedberg, CORE, Acumatica, or similar ERP/specification tools

Industry Knowledge

  • Strong understanding of commercial interiors products, SKUs, finishes, COM/COL requirements, and dealer/manufacturer workflows
  • Experience with budget quoting, pricing validation, margin awareness, and order acknowledgments

Communication & Coordination

  • Clear, professional communication with manufacturers, reps, vendors, designers, and project managers
  • Ability to manage multiple orders and projects simultaneously in a deadline-driven, detail-focused environment

Organizational Skills

  • Exceptional attention to detail and accuracy in data entry and documentation
  • Strong organizational skills with the ability to keep multiple orders, systems, and timelines aligned

Nice to Have

  • Experience with SAP, CORE, Acumatica, or other ERP/order management systems
  • Background supporting major commercial interiors brands such as Herman Miller, Haworth, Steelcase, Teknion, Knoll, Allsteel, HON, and similar manufacturers
