NE Region Administrative Assistant
Position Description:
We are seeking a highly organized and detail-oriented Administrative Assistant to support the Senior Vice President (SVP) of the New England (NE) Region and the SVP’s leadership team. This role will provide a wide range of administrative and operational support, contributing to the efficiency of the team and enhancing the experience of employees and candidates. The ideal candidate will be proactive, adaptable, and able to handle multiple tasks in a fast-paced environment.
Core Responsibilities:
- Provide administrative support to the SVP of the NE Region and the SVP’s leadership team, managing a variety of tasks to ensure smooth operations.
- Coordinate and schedule meetings for the NE Senior Leadership Team, including preparing meeting materials, taking meeting notes, and distributing them promptly.
- Assist in the BOND Edge program administrative needs in coordinating rotations.
- Assist leadership with preparing and submitting requisition requests for new hires, ensuring timely processing and approval.
- Schedule and manage interviews for potential candidates, acting as the main point of contact for all candidates throughout the hiring process.
- Collaborate with Corporate HR and hiring managers to coordinate the new hire onboarding process, including coordinating with the new employee logistics and the day-one schedule.
- Proactively follow up with new hires to solicit feedback on their needs, such as training, equipment, or other support to ensure a positive onboarding experience.
- Coordinate employee communications and morale-boosting events in partnership with the BCU marketing team, fostering a positive and engaging work environment.
- Manage the NE BCU cooperative (coop) placement process, ensuring a high-quality experience for coop students by conducting periodic check-ins with teams and students.
- Perform additional administrative tasks as needed to support the needs of the team and leadership.
Qualifications:
- A Bachelor's degree in a related field such as Business Administration with a concentration in Human Resources or equivalent work experience
- Proven experience in an administrative role, preferably in a corporate or regional setting.
- Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.
- Excellent written and verbal communication skills.
- Ability to maintain a high level of confidentiality and handle sensitive information with discretion.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong attention to detail and problem-solving skills.
- Ability to work collaboratively with cross-functional teams and interact with employees at all levels of the organization.
