Job description – Facilities Workplace Specialist
- Maintain office by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges, ID, and access cards)
- Order front office supplies and keep an inventory of stock
- Update calendars and schedule meetings related to facilities
- Manage travel, accommodations, Forex and VISA requirements
- Keep updated records of office expenses and costs in coordination with the facilities team
- Engaging with HR and Line of business related to facilities aspects
- Work closely with HR & Finance team for employee engagement activities, office decoration.
- Perform other clerical receptionist duties such as filing, photocopying, transcribing
- Help interview candidates by directing them to the respective hiring manager/HR
- Assist in general administrative activities and contribute to the Monthly Management Report (MMR)
- Participate in Emergency Evacuation procedures including crisis management and business continuity
- To act as a backup to facilities team in case of emergency/requirement
- Assist in utilization of conference /meeting rooms and Co-ordinate with facilities team for event management
- Greet and welcome guests/clients as soon as they arrive at the office and direct visitors to the appropriate person
- Responsible for handling incoming and outgoing calls including distribution. Provide basic and accurate information in-person and via phone/email
- Receive, sort, and distribute daily mail/deliveries
Education And Experience
- Graduate in any discipline
- 4+ years experience in a similar function
- Computer Literacy: Strong Knowledge of Microsoft Office applications (Outlook, Excel, PowerPoint, and Word).
- Proven ability to collaborate and function effectively as part of a team
- Good communication skills and knowledge on facilities & administrative domain.
