WHY BOX NEEDS YOU
We are hiring an Executive Assistant to support senior Engineering leaders. You will proactively handle administrative and operational tasks, anticipate and resolve issues, and enable VPs and their teams to execute projects efficiently. Key responsibilities include calendar and travel management, meeting and event coordination, project tracking, cross-functional communication, and driving process improvements across the engineering organization. Strong organization, attention to detail, sound judgment, and excellent communication are required. Interest or familiarity with product and technology is a plus. This role is part of the Engineering and Business Operations (EBOS) team and contributes to cross-engineering initiatives.
WHAT YOU'LL DO
- Own complex calendar management and scheduling for assigned executives
- Orchestrate domestic and international travel across time zones
- Manage monthly expenses and executive-related costs (e.g., subscriptions, memberships)
- Stay aligned to executive and team priorities to drive the right outcomes
- Plan and run meetings, events, and offsites, including quarterly retreats and team-building
- Serve as gatekeeper, time advocate, and primary liaison for executives
- Triage and prioritize time-sensitive requests, escalating thoughtfully when needed
- Support team operating rhythms, including meetings, Slack channels, and distro lists
- Streamline team and org-wide communications while centering executive focus
- Partner with executives and Recruiting to drive hiring activities
- Champion culture initiatives; track and celebrate milestones (Boxiversaries, life events, birthdays)

- 2+ years of experience as an Executive Assistant or related experience
- Excitement to thrive in a dynamic environment, seeking to bring structure and clarity
- Strong verbal and written communication and interpersonal skills
- Excellent calendar management skills, including the coordination of complex meetings and designing scalable operating cadences
- Professional comfort with Google Calendar, Coupa, Workday, Navan and Concur or similar platforms
- Confident self-starter that can take a task and run with it with limited supervision from executive
- Able to anticipate problems and/or needs of your executive and proactively offer solutions and make recommendations
- High attention to detail and creative problem solver able to think outside the box
- Able to maintain high levels of confidentiality
- Comfortable adapting to a fast pace working environment
- Genuine passion for culture, events, and organizational engagement

United States Pay Range
$104,500 - $130,500 USD
