Maintenance Administrator

Primary Responsibilities:
The Maintenance Administrator plays a key role in supporting the operational efficiency of a mixed-use residential and commercial property. Working closely with the Chief Engineer, maintenance team, and union contractors, this position provides vital administrative support across a range of engineering and facilities functions. The position ensures accurate recordkeeping and smooth collaboration between internal departments and external partners to facilitate efficient maintenance operations.
Specific responsibilities include:
- Provide day-to-day administrative support to the Chief Engineer, maintenance team, and union contractors. Responsibilities include managing calendars, scheduling meetings, organizing documentation, and facilitating internal communications to support seamless operations.
- Plan, schedule, and track routine maintenance activities, including quarterly inspections and preventive maintenance tasks, to ensure building systems operate efficiently and comply with maintenance schedules.
- Accurately document and maintain detailed records of work orders, inspections, repairs, and service history using Leonardo 24/7 and other maintenance management platforms. Ensure documentation is organized, current, and audit-ready.
- Act as the central point of contact for internal departments and external contractors, facilitating clear and timely communication to coordinate maintenance work, resolve issues, and ensure expectations are met.
- Support the Chief Engineer and property management team in preparing maintenance budgets, tracking expenses, and assisting with procurement activities such as ordering supplies and managing vendor invoices.
- Monitor maintenance activities to ensure alignment with local, state, and federal safety regulations. Assist in maintaining documentation required for compliance audits and inspections.
- Compile and distribute regular reports on maintenance activities, project updates, outstanding work orders, and budget performance for review by property management and engineering leadership.
- Monitor building systems and maintenance logs to identify recurring or potential issues. Proactively suggest improvements, escalate concerns as needed, and support the implementation of preventative solutions.
What You Bring to Us:
- High school diploma or equivalent
- Prior training in facilities management, property management, engineering, or a related field is strongly preferred.
- Prior administrative experience, preferably within a maintenance or facilities management
- Intermediate proficiency with the Microsoft Office
- Familiarity with property and maintenance management platforms such as Leonardo 24/7, Yardi, or similar systems required.

This position is eligible for additional bonus opportunities.
Salary Range
$60,000 - $70,000 USD
