We are looking for an Administrative Assistant to join us as we build cutting-edge technology solutions! This is your opportunity to be part of a team that is committed to delivering best in class service to our customers.
In this role, you will play a pivotal role in creating a welcoming and professional environment for both internal and external guests. You will serve as the first point of contact, managing front desk operations and supporting high-level meetings and events. This is an onsite role, five days a week, supporting a dynamic team that works closely with U.S. government entities and third-party organizations in Washington, DC. The ideal candidate is proactive, personable, and thrives in high-performing, fast-paced settings while delivering exceptional service to VIPs and government officials.
Responsibilities:
- Reception Support: Manage front desk operations, greet guests warmly, and ensure a positive first impression. Answer, screen, and direct incoming calls promptly and professionally.
- Conference Room Management: Coordinate meeting and conference room schedules, manage setups and breakdowns, and ensure rooms are prepared for successful meetings.
- Business Support: Provide general administrative support such as expense reconciliation, meeting scheduling, and the creation of spreadsheets, reports, and presentation materials.
- Event Support: Assist the events coordinator with setup, breakdown, and logistical management of events and meetings. Provide basic AV setup and troubleshooting, including guiding team members on equipment use.
- Ad Hoc Support: Perform various day-to-day administrative tasks, including travel and expense coordination, supporting individual team members, and managing unplanned or time-sensitive needs.
Qualifications:
- Minimum 5+ years of experience in an administrative, front desk, or receptionist role.
- Proven experience managing executive and VIP interactions with professionalism and discretion.
- Strong proficiency (5+ years) in: Microsoft Outlook, Teams, OneNote, Word, Microsoft PowerPoint and Microsoft Excel.
- Excellent communication skills, both written and verbal.
- Must be dependable, adaptable, and able to remain calm under pressure.
- Demonstrated ability to work in high-performing, fast-paced environments.
- Strong interpersonal skills; a true "people person" who is collaborative and team-oriented.
- Ability to work onsite five days a week in Washington, DC.
Preferred Qualifications:
- Prior experience supporting government affairs, working in a law firm, or in roles supporting government agencies.
- Experience coordinating travel and managing expense reports.
- Basic AV troubleshooting skills and experience supporting event logistics.
- Exposure to high-level security or confidential environments is a plus.
Salary Range
Pay ranges vary based on multiple factors including, without limitation, skill sets, education, responsibilities, experience, and the local market. The pay range for this position reflects the Washington, DC market: $24.04–$26.44 USD per hour, with a midpoint of approximately $25.24 per hour. The final salary/wage and job title for this opening will be based on the selected candidate’s qualifications and experience and may fall outside this range.
