In This Role
You will provide proactive administrative and operational support to leaders within a global technology organization focused on commercial partner initiatives. You will manage executive calendars, meetings, travel, expenses, and stakeholder communications while helping the broader team stay organized and aligned. This role requires someone who understands business priorities, anticipates needs, and acts as a trusted partner rather than providing only transactional administrative support.
Responsibilities
- Manage complex executive calendars, competing priorities, meeting requests, and scheduling changes.
- Coordinate domestic and international travel, including itineraries, airport logistics, executive preferences, and last-minute adjustments.
- Prepare, submit, and reconcile travel expenses while ensuring accuracy and compliance.
- Organize internal meetings, leadership discussions, team engagements, and local partner activities.
- Prepare agendas, reports, presentations, memos, correspondence, and other business documents.
- Support communication and coordination across leaders, internal teams, external partners, and extended stakeholder groups.
- Review incoming communications and materials, determine their significance, and coordinate appropriate follow-up or distribution.
- Anticipate administrative and operational needs, identify potential conflicts, and proactively drive solutions.
- Track deadlines, action items, commitments, and stakeholder requests to ensure timely completion.
- Maintain organized and confidential records, reports, and corporate documents.
- Support general office operations, including supplies, invoicing, records management, and basic bookkeeping activities.
- Build strong working relationships and serve as a dependable partner to supported leaders and the broader administrative team.
- Ensure all assigned activities are completed accurately, on time, and in accordance with organizational policies.
Qualifications
- High school diploma or GED.
- 5–7 years of executive administrative, business support, or related professional experience.
- Demonstrated experience supporting executives and understanding their priorities, preferences, and business needs.
- Extensive experience coordinating complex domestic and international travel.
- Strong experience preparing, managing, and reconciling executive expense reports.
- Proven ability to manage complex calendars, meetings, scheduling conflicts, and changing priorities.
- Proficiency with Microsoft Word, Excel, PowerPoint, Outlook, or comparable productivity tools.
- Strong written and verbal communication skills.
- Excellent organizational, time-management, customer-service, and interpersonal skills.
- Ability to work independently, exercise sound judgment, and take initiative.
- Ability to handle confidential information with discretion.
- Ability to meet deadlines and maintain accuracy in a fast-paced, stakeholder-driven environment.
- Willingness and ability to work the required schedule consistently, as working hours are not flexible for time-zone differences.
- Stable employment history without a recurring pattern of short-term positions.
Preferred Qualifications
- Experience supporting leaders within a commercial business or technology organization.
- Experience working in a global, cross-functional environment across multiple regions or time zones.
- Experience supporting partner-facing, healthcare-related, go-to-market, sales, or operational initiatives.
- Demonstrated ability to anticipate executive needs and proactively resolve issues before they affect schedules or deliverables.
- Ability to understand broader business objectives and connect administrative activities to team priorities.
- Experience coordinating across small, midsized, and corporate external partners.
- Strong stakeholder-management skills and the confidence to ask clarifying questions when additional business context is needed.
- Experience improving administrative processes, workflows, or established ways of working.
- Ability to provide basic mentoring, support, or constructive feedback to colleagues.
Compensation
At Blueprint, we strive to offer competitive pay that reflects the value of our team members. Compensation for this role is influenced by a variety of factors, including skills, education, responsibilities, experience, and geographic market.
For candidates based in Washington State, the anticipated compensation range is $30 to $35 per hr. Please note that we typically do not hire new employees at the top of the posted range. Actual starting pay will be determined based on experience, skills, and internal equity. The final compensation and job title may vary depending on the selected candidate’s qualifications.
