The Position:

We are looking for a highly organized and proactive Media Coordinator to join our growing team. In this role, you will support both traditional and digital media buyers in executing high-impact advertising campaigns across multiple channels — including TV, radio, digital, print, and out-of-home.

You will act as the vital link between internal teams, vendors, and clients, ensuring media plans are executed smoothly, accurately, and on time. If you are detail-oriented, thrive in a fast-paced environment, and enjoy juggling multiple priorities with ease, we’d love to connect with you.

The Responsibilities:

Includes, but not limited to the following:

Media Planning & Coordination

  • Assist Media Buyers with research and execution of media plans across traditional and digital platforms.
  • Collect and organize advertising rates, specifications, and circulation/viewership data from print, broadcast, and digital vendors.
  • Coordinate the preparation and distribution of insertion and broadcast orders to vendors.
  • Maintain accurate records of signed orders and upload them into the media buying system.

Campaign Execution & Reporting

  • Collaborate with the team on managing and monitoring all campaigns.
  • Pull, compile, and analyze monthly performance reports from all media platforms.
  • Assist in media audits and ensure quality control of all ad materials prior to placement.

Communication & Vendor Management

  • Serve as the point of contact for media reps.
  • Track and manage all media invoices, resolve discrepancies, and ensure timely approval in coordination with Accounting.

Internal Support & Administration

  • Open new media projects and maintain accurate project documentation.
  • Support preparation of client-facing presentations and proposals using PowerPoint or other formats.
  • Traffic creative assets (TV, Radio, Print, Digital, Outdoor) to media outlets.
  • Assist in reconciling media billing and prepare billing reports for the Finance team.Assist Media Directors, Buyers, and the larger Media Team with other duties as necessary.

 

The Essentials:

  • 0–2 years of experience in media coordination, advertising, or a related field.
  • Strong organizational and multitasking abilities with high attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Google Workspace (Docs, Slides, Drive, etc.), and Mac hardware preferred.
  • Experience with platforms like Strata and Workamajig is a plus.
  • Ability to work independently and collaboratively in a fast-paced environment.
