About Braintrust Tutors

Braintrust Tutors partners with schools and districts to deliver high-impact K–8 academic intervention through strong instructional talent, disciplined operations, and a purpose-built platform that supports implementation, visibility, and student progress.

We operate in a complex environment where school-year seasonality, district procurement cycles, staffing, attendance, and program execution all affect financial performance. We are looking for a Controller who can bring rigor, accuracy, and operational visibility to the finance function while supporting a growing education business.

Position Overview

Braintrust is seeking a Controller to lead accounting operations and financial discipline in close partnership with the CFO.

This role is ideal for a hands-on finance operator who can own the integrity of the numbers, strengthen internal controls, improve reporting cadence, and build scalable processes across accounting, billing, collections, payroll support, audit readiness, and monthly close.

The Controller will not be expected to act as the strategic finance lead for the business. That seat is already in place. Instead, this role is meant to support the CFO by ensuring the accounting function is accurate, timely, well-controlled, and built to scale.

This is a high-accountability role for someone comfortable working in the details while also improving systems and processes across a growing K–12 education company.

This is a remote full-time position within the United States.

What You'll Do

Own accounting operations

  • Lead day-to-day accounting operations, including general ledger, accounts payable, accounts receivable, reconciliations, accruals, prepaids, and monthly journal entries
  • Manage and improve the monthly, quarterly, and year-end close process
  • Maintain accurate financial records and ensure the integrity of the chart of accounts
  • Build and document accounting policies and procedures

Support the CFO with reliable reporting

  • Prepare monthly financial statements and supporting schedules
  • Deliver timely and accurate reporting packages for leadership
  • Support budget-to-actual reporting and variance analysis
  • Help create clearer visibility into revenue, gross margin, operating expenses, receivables, and cash

Strengthen billing, collections, and revenue tracking

  • Improve invoicing accuracy and billing discipline across school and district contracts
  • Track accounts receivable and support stronger collections processes
  • Ensure revenue is recorded consistently and in line with company policy
  • Partner with operations and customer-facing teams to resolve billing gaps, PO issues, and invoicing delays

Build stronger controls and compliance

  • Design and maintain internal controls that improve financial accuracy and reduce risk
  • Support audit preparation and coordination with external accountants and auditors
  • Ensure timely and accurate support for tax filings, 1099s, payroll-related compliance, and other finance requirements
  • Help maintain disciplined documentation and approval processes

Support payroll and contractor discipline

  • Oversee payroll accounting and related reconciliations
  • Partner with HR and operations on compensation tracking, contractor payments, and classification-related documentation
  • Improve consistency and controls around tutor and staff payment processes

Technology & Systems Fluency

  • Identify process improvements that reduce manual work and increase reliability
  • Help implement better workflows across accounting, reporting, and contract-to-cash operations
  • Use financial systems, spreadsheets, and automation tools to improve visibility and efficiency
  • The ideal candidate is highly comfortable working in QuickBooks and knows how to use financial systems to create cleaner, faster, and more reliable workflows. We are looking for someone who not only maintains accurate books, but also identifies opportunities to automate repetitive processes, improve reporting visibility, and reduce manual work across billing, reconciliations, close, and collections.
  • Automation and AI-driven tools to modernize the finance function, strengthen controls, and give leadership more real-time insight into company performance is a must.
  • Experience improving workflows through integrations, dashboards, process automation, and AI-enabled productivity tools is strongly preferred.

Partner cross-functionally

  • Work closely with the CFO, CEO, Operations, and HR
  • Help translate operational complexity into clean financial reporting
  • Support decision-making with accurate, timely financial data

  • Strong knowledge of GAAP and core accounting operations

  • Strong attention to detail and high personal accountability
  • Excellent spreadsheet skills and comfort with accounting systems

Compensation & Benefits

  • Benefits include medical, dental, and vision coverage.
  • 401(k)
  • Paid time off and company holidays.
  • Professional growth opportunities within a fast-growing company focused on improving outcomes for students nationwide.
