Job Summary:
The Executive Assistant will be responsible for providing comprehensive administrative support to the CEO, enabling effective management of the firm’s operations and strategic initiatives. The ideal candidate will possess excellent communication skills, a keen attention to detail, and the ability to handle confidential information with discretion.

Key Responsibilities:

  • Calendar Management: Organize and maintain the CEO’s schedule, prioritizing appointments and meetings to maximize productivity.
  • Communication: Serve as the primary point of contact for internal and external communications, including phone calls, emails, and correspondence.
  • Meeting Coordination: Prepare agendas, take minutes, and follow up on action items from meetings, ensuring timely completion of tasks.
  • Travel Arrangements: Coordinate travel itineraries, accommodations, and logistics for business trips.
  • Research and Reports: Conduct research and prepare reports, presentations, and briefing materials for the CEO as needed.
  • Administrative Support: Handle a variety of administrative tasks including filing, document management, and office organization.
  • Confidentiality: Maintain strict confidentiality regarding sensitive information and company matters.
  • Project Assistance: Support special projects and initiatives as directed by the CEO.
  • Written Communications: Draft and edit communications, including emails, letters, speeches, and presentations, ensuring that the CEO’s voice and message are effectively conveyed

Qualifications:

  • Bachelor’s degree in Business Administration, Legal Studies, or related field preferred.
  • 10+ years of experience as an executive assistant for the CEO of an organization with greater than 250 employees.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with legal management software.
  • Excellent organizational and time-management skills with the ability to prioritize tasks effectively.
  • Strong written and verbal communication skills, with a professional demeanor.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • High level of discretion and confidentiality.

Compensation Range:

$95,000 - $110,000 USD

Benefits: Full Time Employees and Part Time Employees over 30 hours per week
