Role: Snr  Resource Manager 

Location: Hybrid (Mumbai Office)

 

A little bit about the role -

The Maker Hub Resource Manager is the operational backbone of Beauty AI Studio (BAIS) — responsible for coordinating project activities, validating requirements, and creating and managing project schedules that keep multi-market creative delivery on track. You'll own resource allocation and workload distribution across the Maker Hub, ensuring specialised production and creative teams are deployed effectively across all active workstreams. 

Beyond scheduling and coordination, you'll act as the critical link between in-market Account Service and Creative — facilitating workflow, resolving operational bottlenecks, and maintaining the clear processes and frameworks that enable the Hub's production teams to focus on delivering high-quality, AI-assisted creative at scale. You may independently lead small projects and will be responsible for ensuring the delivery of data analysis and reporting that informs resource planning and operational performance across the studio. 

 

What you'll doing -

Resource Planning & Coordination 

  • Coordinate and plan Maker Hub resources to support the delivery of Gen AI-led creative projects across multiple markets — ensuring the right technical expertise is assigned to the right projects at the right time. 
  • Create, maintain, and manage project schedules across social, digital, e-commerce, and creative production workstreams — keeping delivery timelines accurate and up to date. 
  • Own and optimise workload distribution across the Hub's AI-enabled production teams — balancing capacity, managing competing priorities, and proactively addressing resourcing gaps. 
  • Create, maintain, and analyse utilisation reports to ensure balanced workload and maximum team effectiveness — sharing insights with studio and market leadership as required. 
  • Lead multiple market operational planning to support the effective delivery of AI and technology-driven projects across all active markets. 
  • May independently lead small projects from planning through to delivery. 

Workflow & Operations 

  • Act as the liaison between in-market Account Service teams and Creative — facilitating workflow, validating requirements, and ensuring briefs and deliverables are clearly understood by all parties before production begins. 
  • Drive operational efficiency through clear processes and frameworks that enable production teams to focus on delivery and innovation. 
  • Identify and proactively resolve operational bottlenecks — escalating issues to senior leadership where required. 
  • Own the new starter onboarding process for Maker Hub team members — ensuring smooth integration into studio structures, tools, and workflows. 
  • Develop expert-level proficiency in OMG, our proprietary project planning software, and Pencil, our proprietary Gen AI production tool — acting as a go-to resource for the team on both platforms. 

Stakeholder & Client Management 

  • Manage relationships with in-market stakeholders and agency partners — supporting quality delivery on time across all active markets. 
  • Support market senior leadership with commercial and financial planning, administrative tasks, and operational reporting as required. 
  • Ensure the delivery of data analysis and reporting — tracking project and department utilisation and presenting findings clearly to relevant stakeholders. 

Financial Administration 

  • Support accurate and timely project-level financial administration relating to resource utilization 
  • Flag financial risks or resource utilization variances to the senior leadership team early. 

 

What you need to be great at this role -

Resource Planning and Operations 

  • Experience in resource planning, scheduling, or project coordination within a creative production, agency, or in-house studio environment. 
  • Demonstrated ability to coordinate multiple production and creative workstreams simultaneously — managing complex scheduling requirements across diverse project types with precision and clarity. 
  • Strong operational mindset with a proven track record of delivering efficient processes that enable production teams to perform at their best. 
  • Experience creating and maintaining utilisation reports and using job and time reporting systems to estimate, track, and analyse projects and department capacity. 
  • Proactive approach to identifying and resolving operational bottlenecks before they impact delivery. 
  • Experience independently leading small projects from initiation through to completion. 

Workflow and Stakeholder Coordination 

  • Experience acting as a liaison between client service, account management, and creative or production teams — facilitating workflow and ensuring requirements are validated before work begins. 
  • Strong written and verbal communication skills — able to translate operational information clearly for diverse audiences across markets and functions. 
  • Experience managing relationships with in-market stakeholders and external agency partners to support on-time, quality delivery. 
  • Familiarity with onboarding processes and integrating new team members into studio or production environments. 

Tools and Technical Knowledge 

  • Proficiency in Microsoft Office and related software, including project planning and scheduling tools. 
  • Experience with or the ability to develop expert-level proficiency in proprietary project planning tools such as OMG and Gen AI production platforms such as Pencil. 
  • Familiarity with digital asset management, creative review systems, and approval workflows in a content production context. 
  • Understanding of marketing channels, assets, and workflows across social, digital, and e-commerce is an advantage. 
  • Experience in quality assessment of work delivered by a production hub or creative team. 

Gen AI & Agentic Thinking 

  • Proficiency with Gen AI tools relevant to resource management and production coordination workflows — using AI to improve scheduling, reporting, and operational efficiency. 
  • Experience building personal AI workflows to improve day-to-day efficiency and output quality. 
  • Agentic approach to operational challenges: breaking down complex, multi-market coordination tasks into clear, manageable steps and finding efficient paths forward. 
  • Ability to critically evaluate AI outputs and apply sound judgement before incorporating them into operational processes or client-facing deliverables.
