ML Bio is developing BBP-418, potentially the first oral treatment for patients with LGMD2I.

Who You Are
As an Executive Assistant, you will play a crucial role in providing high-level administrative support to the executive team and facilitating the smooth operation of ML Bio. Experience in the biotech industry is helpful, but not required, in understanding the unique challenges and opportunities within the field. The position requires exceptional organizational skills, proactivity, excellent time management, attention to detail, flexibility, and the ability to handle sensitive information with utmost confidentiality.
Responsibilities
- Supporting the day-to-day activities of the ML Bio executive team (a team of 7 people), which includes VP- to C-suite level individuals
- Proactive and extensive management of executive calendars, meetings, and events
- Lead coordination of large-scale internal and external meetings/events, including logistics and communication of staff meetings, executive briefings, team meetings, patient advocacy events, etc.
- Management of budgets and vendors in connection with EA’s responsibilities
- Financial support for the executive team
- Handle business and company details with a confidential and sensitive nature
- Support meeting preparation by gathering, assembling, and analyzing information to prepare materials and presentations when requested
- Initiate high-level contacts of a sensitive nature in and outside of the company
- Coordinate procurement of hardware and software for the ML Bio team
- Strong writing skills to effectively create, edit, and proofread (including presentations, spreadsheets, emails, printing, and copying) and distribute materials for leadership
- Support interdepartmental and cross-functional projects and collaborate with other admin staff to share best practices and coordinate initiatives
- Manage travel (flight, hotel, car) arrangements for domestic and international travel for members of the Executive Team
- Manage certain executive expenses, including but not limited to submitting expense reports and receipts in a timely manner
- Strong computer literacy and ability to troubleshoot or coordinate help for some technical issues
- Other responsibilities as assigned and as appropriate from time to time

Education, Experience & Skills Requirements
- Bachelor’s Degree from an accredited college/university preferred
- Minimum of 3-5 years of experience supporting C-level executives is required
- Excellent time management and flexibility are required
- Demonstrated ability to establish priorities and act quickly and professionally
- Must hit tight deadlines, stay organized, and be a self-starter
- Thorough knowledge of MS Office suite (Word, PowerPoint, Excel) required
- Excellent verbal and written communication skills are required
- Demonstrate ability to handle sensitive information, which has tactical and strategic importance
- A positive demeanor and motivational team member is desired
