About the Role
We are seeking a highly organized, detail-oriented Project Coordinator to support Community operations and programming across the firm. This role is designed for a strong executor who can manage day-to-day team operations and projects, maintain critical systems and data, and provide consistent, high-quality support across a wide range of community initiatives and events.
The Project Coordinator provides consistent operational support across Community team workflows—ensuring information is accurate, processes are followed, and day-to-day execution is reliable. This role supports maintaining a comprehensive view of firmwide community activity, assists with event logistics and execution, and ensures that foundational systems (e.g., calendars, trackers, documentation) are accurate and up to date.
This role will also apply AI and emerging technologies to support engagement tracking, event operations, and reporting within established workflows.
Success in this role requires strong attention to detail, the ability to manage multiple workflows simultaneously, sound judgment in escalating risks, and a commitment to operating with high standards, transparency, and continuous improvement.
You Will Drive the Following Responsibilities
Day-to-Day Team Operations
- Support and maintain core operational workflows that enable the Community team to run effectively day-to-day.
- Track and process Community expenses, ensuring accuracy, timeliness, and adherence to established processes.
- Maintain the Community Program Tracker, ensuring data accuracy, completeness, and consistency.
- Maintain Community team distribution lists (DLs) and communication channels (e.g., Slack).
- Manage RSVP tracking across events, ensuring accurate attendance data and reliable records.
- Maintain organized, structured file systems and documentation across platforms.
- Support updates to the Community SharePoint site and Confluence pages to ensure information is current and accessible.
- Manage the Community event calendar, including company-wide invites and scheduling coordination.
Company Calendar & Event Intake Management
- Support maintenance of a comprehensive, up-to-date view of community-related events and programming across the firm.
- Assist with intake review and coordination of new events, ensuring proper documentation and alignment with team processes.
- Identify and flag potential risks across events, including:
- Legal and compliance considerations
- Physical and logistical risks
- Tone and messaging alignment
- Scheduling conflicts
- Internal stakeholder concerns
- Escalate risks clearly and promptly to appropriate stakeholders.
- Support improvements to intake processes, visibility, and coordination across Community programming.
Administrative Event Support
- Provide administrative and operational support for Community events across the full lifecycle.
- Support event planning logistics, materials, and coordination across stakeholders.
- Assist with vendor coordination, onboarding, and communication.
- Support day-to-day execution and on-site logistics as needed.
- Ensure event materials, communications, and trackers are accurate and up-to-date.
- Capture and organize post-event documentation to support repeatability and learning.
Life Events & Milestone Programs
- Support execution of Life Events and Milestone programs across the firm.
- Maintain trackers and documentation to ensure consistent, timely, and accurate delivery.
- Assist with communications and coordination across stakeholders.
- Maintain visibility into program activity and flag gaps, inconsistencies, or risks.
Team-Level Outcomes
- Accurate, complete, and up-to-date community data that supports informed decision-making.
- Reliable execution of Community events and programs within established processes.
- Timely identification and escalation of operational risks and conflicts.
- Well-maintained systems, trackers, and documentation that support consistency and repeatability.
- Strong operational support that enables the broader Community team to execute effectively.
Qualifications
- Strong organizational skills with the ability to manage multiple priorities and execute reliably in a fast-paced environment.
- High attention to detail and commitment to accuracy, consistency, and follow-through.
- Clear and professional written and verbal communication skills, with the ability to engage effectively across stakeholders.
- Experience supporting operations, coordination, administrative functions, or events.
- Demonstrated ability to operate with ownership and accountability within defined processes, consistently following through on commitments.
- Sound judgment in identifying when to escalate risks, issues, or ambiguities, and doing so clearly and promptly.
- Ability to follow established processes while identifying opportunities to improve efficiency and effectiveness.
- Strong collaboration skills and ability to work effectively across teams, incorporating input and aligning on shared outcomes.
- Comfort operating in a transparent, feedback-driven environment, including:
- Proactively surfacing errors, gaps, and risks
- Giving and receiving direct, constructive feedback
- Flagging inconsistencies rather than working around them
- Ability to maintain high standards while managing multiple concurrent workflows.
- Comfort working with tools such as Outlook, Excel, SharePoint, and Confluence, with the ability to learn new systems quickly.
- Interest in or exposure to using AI tools or technology to support workflows, tracking, or reporting
Physical Requirements
The onsite requirement for this role is four days per week at our NYC campus with travel to Westport, CT as required.
Compensation
The wage range for this role is $110,000- $175,000 inclusive of base salary and discretionary target bonus. The expected base salary for this role is between 80% - 90% of this wage range.
