We are seeking a full-time Executive Assistant to work in our Arlington, Virginia office. The base salary for this position is $65,000 to $85,000
The ideal candidate will demonstrate the ability to work independently to organize, prioritize, and complete tasks timely and efficiently. The candidate will also possess outstanding customer service, written, and verbal communication skills. This role will provide operations support to Investment Banking Staff.
Duties of this position include, but are not limited to the following:
Administrative and Operational Support
- Plan and execute regularly scheduled office events (e.g. team lunches, off-site meetings, trainings & social events etc.)
- Prepare monthly expense reports, identify and resolve all discrepancies
- Book travel and accommodation for out-of-town candidates and assist with expense reimbursements as needed
- Assist recruiting team as needed by preparing resume packets and managing logistical details
- Perform administrative duties as needed for Investment Bankers (e.g. expense reconciliation, arranging travel, calendar support, )
- Maintain and protect confidentiality with regard to all aspects of client and company information
- Perform other duties as assigned
- Ensure common areas of the office are kept neat and organized
- Liaise with building management, security and maintenance personnel
- Direct and screen telephone calls, voicemails, faxes, and emails
- Order, re-stock and maintain inventory of all office and kitchen supplies
- Collect and distribute mail; Coordinate shipping and preparation for outgoing mail
Education, Experience, and Skills:
- Bachelor’s degree and 4+ years related of experience required
- General knowledge and work experience within the securities industry is a plus
- Creative problem solver who can work independently and maintain project deliverables with limited supervision.
- Excellent organizational and time management skills with strong attention to detail. Ability to handle multiple concurrent activities and competing priorities in a fast-paced, high pressure environment
- Highly self-motivated, proactive and dependable, with a high degree of personal integrity and professionalism
- Experience with coordinating travel and meeting arrangements.
- Excellent verbal and interpersonal skills and phone manner. Ability to demonstrate discretion in handling confidential data and interacting with senior executives and team members
- High level of proficiency with MS Office
- Ability to quickly become familiar with the firm’s specific processes and tools/systems
