Position Overview:
The Front Desk & Facilities Coordinator will support with daily administrative, operational, and facilities tasks at the Brilliant Earth Distribution Center in Secaucus, NJ. This role serves as the primary point of contact for on-site staff, visitors, vendors, and leadership—coordinating facility maintenance, managing security access and systems, and keeping the property secure, efficient, and well-maintained. The Coordinator acts as a bridge between remote operations management, on-site teams, and external vendors to ensure smooth daily operations.
This is a part-time role based in our Secaucus, NJ facility. The ideal candidate will be available to work 10-hour day shifts on Mondays and Tuesdays from 9am-7pm. The targeted hourly rate for this position is $21/hour. This compensation budget range may be adjusted at any time at the discretion of the company.
What you’ll do:
Visitor & Access Management
- Serve as the welcoming first point of contact for employees, visitors, and guests. Monitor entry and exit procedures and assist with visitor digital check-in.
- Issue, track, and reconcile daily guest fobs with accurate sign-in and sign-out records.
- Conduct scheduled interior and perimeter walkthroughs; document and escalate security or facilities concerns.
Vendor & Facilities Coordination
- Serve as the on-site point of contact for facilities matters, coordinating and communicating with the remote Retail Operations team.
- Submit facilities maintenance tickets in our internal ticketing system with complete on-site details and keep internal teams updated through resolution.
- Brief facilities vendors on issue context and work scope, escort them on-site, and observe work in progress.
- Escalate time-sensitive or high-impact facilities issues with urgency.
Security Systems & Access Support
- Conduct routine security and facilities checks for the Distribution Center, following established checklists and procedures.
- Follow security policies and procedures, flagging any concerns to the security team.
- Learn and become proficient in company security technology platforms (e.g., camera monitoring, alarms, and access control systems) and internal communication systems.
- Process security tickets (e.g., cameras, fobs and alarm codes) for the Distribution Center (and showroom locations as needed).
Role Requirements
- High school diploma or equivalent required; an associate's or bachelor's degree is highly valued.
- 1 year of experience in operations, office administration, property management, facilities, or a similar role; experience in loss prevention, security, or a distribution center environment is a plus.
- Comfortable using basic computer applications (email and messaging) and navigating multiple software tools, with the ability to learn new systems quickly.
- Strong multitasking and attention to detail, with the ability to stay calm and professional under pressure in a fast-paced environment; reliable and punctual for all scheduled shifts.
- Positive, coachable attitude, eager to learn, take direction, and grow in the role.
- Friendly, welcoming demeanor with a strong customer service orientation toward employees, visitors, and vendors.
- Excellent communication, conflict-resolution, and problem-solving skills, with proven ability to work independently and collaborate effectively across teams.
- Discretion in handling confidential and sensitive information.
