Executive Assistant
Brunswick Group seeks an experienced and dedicated individual to join the team as an Executive Assistant based in Sydney. In this role, you manage the Partner’s demanding schedule and day-to-day operations. This role requires impeccable organizational skills, an unrelenting attention to detail, a proactive mindset, a professional and collaborative approach and the ability to handle confidential information with discretion. The ideal candidate will thrive in a fast-paced environment, will have the ability to serve as a thought partner and a driver of tasks, and will have a track record of successfully supporting C-suite executives.
Duties and Responsibilities may include but are not limited to:
Calendar and Schedule Management, Meeting Preparation
- Optimize the Partner’s time by planning and coordinating schedules, resolving conflicts, anticipating any difficulties, negotiating and allocating time to priorities across multiple time zones and making sure they are in the right place at the right time, with the right information and briefing.
- Appropriately prioritize and coordinate internal and external commitments to optimize the Partner’s time.
- Coordinate and gather briefings in partnership with the Chief of Staff, making sure that the Partner is provided with the relevant papers or briefing in advance of meetings.
- Assist in preparing presentation materials and content, collaborating appropriately across teams and functions.
Travel Coordination
- Arrange complex international and domestic travel itineraries, including flights, accommodations, visas and ground transportation.
- Prepare detailed travel agendas and ensure all necessary travel documentation is in order.
- Arrange, organize and implement attendance at conferences, events and meetings for the Partner including arranging business travels both domestic and international.
Collaboration, Communication and Correspondence
- Serve as the primary point of contact for internal and external stakeholders, screening and prioritizing incoming communication and requests.
- Anticipate problems and remain sensitive to issues that require diplomacy, while working toward swift resolution.
- Understand and remain abreast of the nature of our firm’s work, how the leadership team functions and your role in facilitating that work in order to seamlessly coordinate with other teams across the firm globally.
- Draft, review, and edit correspondence, presentations, and reports as needed.
Information Management
- Maintain accurate and up-to-date files, records, and databases, ensuring easy accessibility for the Partner.
- Conduct research and compile information as requested to support decision-making and strategic initiatives.
- Keep the Partner abreast of trends, company initiatives and events.
Meeting Coordination and Support
- Prepare agendas, materials, and presentations for meetings attended by the Partner.
- Record meeting minutes, follow up on action items, and ensure timely completion of tasks.
Project Coordination
- Assist in coordinating special projects and initiatives as assigned by the Partner, collaborating with cross-functional teams as necessary.
- Track project milestones and deadlines, providing regular updates and status reports.
- Possess keen awareness of business strategies and acts as project manager where necessary.
Confidentiality and Discretion
- Handle confidential information with utmost sensitivity and discretion.
- Maintain a high level of professionalism and integrity in all interactions and communications.
Knowledge, Skills, and Abilities:
- Minimum ten (10) years of administrative or operations experience in a fast-paced and confidential environment
- Exceptional verbal and written communication skills
- Superb project management experience
- Ability to manage schedules seamlessly across time zones (domestic and international)
- Client service-orientation, exhibiting discretion with confidential client matters
- Works well independently and strategically as a team player
- Multi-tasker who exercises keen time management skills
- Ability to maintain the highest level of professionalism in all situations
- Ability to “think on your feet” and showcase sound judgment
- High emotional intelligence and strong personal impact
- Take on challenges readily and bring a truly proactive approach to duties
- Bachelor’s Degree preferred
- Advanced software skills (Microsoft Word, Excel, PowerPoint for PC, Windows 11, Internet)
- Sense of humour
- An interest in business issues and global affairs
While not required, the following would be a plus:
- International work experience or knowledge
- Professional services experience
- Multi-lingual
- Communications industry knowledge/business acumen
