Senior Executive Assistant, London Managing Partner Team

Opportunity

Brunswick Group is seeking a highly organised Senior Executive Assistant to effectively support and coordinate the daily activities of the London Management Team. The ideal candidate will be polished with strong people skills and professional presence. They will have the ability to interact with colleagues, clients and contacts at all levels in an extremely fast paced environment, sometimes under pressure, remaining flexible, proactive, resilient, resourceful and efficient. A high level of professionalism and confidentiality is crucial to the role. Expert written and verbal communication skills, strong decision-making ability and attention to detail are equally important.

Key Responsibilities

The nature of this role requires you to maintain a firm understanding of the goals and priorities of the firm and the strategic agenda for its people to play an active role in supporting those efforts, while collaborating with the administrative teams and other colleagues globally.

The responsibilities of the role include, but are not limited to:

  • Extensive and challenging diary management working to strict guidelines
  • Inbox monitoring and management
  • Arranging team meetings and updates, holding the pen on the agenda
  • Drafting correspondence, emails, invites etc.
  • Organise and send weekly briefing packs for all networking meetings
  • Maintain Networking Log Travel arrangements (clear and precise communication needed)
  • Working with the Brunswick marketing and events teams to organise client events, internal social activities and publishing content on internal networks.
  • Working with charges to expand and maintain individual and firm-held professional networks.
  • Scheduling London Partner and Director meetings/office wide update meetings
  • [Work closely with the European Management Team as UK and Europe become one region]
  • Liaise with Executive Committee offices regarding upcoming meetings
  • Involvement of Annual Partner appraisal process for London
  • Expenses & Timesheets
  • Delivering ad hoc personal support on the occasions when it is necessary, including for external charity/board commitments and platform opportunities.
  • Cover for other assistants as necessary
  • Update contacts
  • Ad hoc duties

Knowledge, Skills and Competencies

  • Ideally 5 – 10 years professional experience.
  • Willingness to work from the office four days a week, flexibility and willingness to work outside of normal working hours is essential.
  • Extensive experience supporting senior management
  • Highly organised; experienced in intensive calendar management and managing extensive travel schedules.
  • Exceptional verbal and written communication skills, with an unflappable nature. Cool under pressure, a capable ambassador for the London Management Team and Brunswick as a firm.
  • Experience working in a fast-paced, global business, ideally in professional services or a business with a strong client-service culture.
  • Flexible nature and comfortable with responding to ad-hoc queries outside of core working hours.
  • Extremely professional and able to interact confidently with people at all levels. Exceptional people skills and a natural relationship-builder.
  • Detail orientated and able to anticipate needs and potential challenges. Confident in taking initiative.
  • Able to prioritize and to meet deadlines. Capacity to react quickly and have good judgment.
  • Experienced in producing briefing packs and presentation materials.
  • Able to work well independently and as a team player.
  • Advanced software skills (Microsoft Word, Excel, PowerPoint for PC, Windows).
