Data Systems & Compliance Coordinator

ESSENTIAL FUNCTION: 

The Data Systems & Compliance Coordinator oversees the management of school data and data systems needed for successful and accurate data compliance and ensures timely reporting. This includes but is not limited to managing all aspects of the Student Information System (PowerSchool), student files, our online student enrollment system as well as monthly, quarterly and annual reporting requirements. 

This person will remain knowledgeable of all compliance reporting requirements and ensure organization processes are updated in order to remain in compliance. They will also contribute to the organization’s data strategy.

DUTIES AND RESPONSIBILITIES: 

Data Collection and Quality Assurance

  • Continuously review BCS’s processes for managing data needed for compliance reporting and implement changes as needed in order to meet new requirements and streamlining of work
  • Coordinate with site and other administrative staff to implement systems ensuring optimal preparation for audits
  • Continuously conduct audits of data needed to fulfill compliance requirements, and work with relevant staff to ensure its accuracy and completion
  • Contribute data collection and analysis for internal and external reporting needs (i.e. annual CALPADS reporting, charter renewal, grant applications, etc.), including but not limited to:
    • Student and Staff Demographics
    • Attendance Data
  • Manage data projects associated with the annual audit, including but not limited to:
    • Collecting and uploading initial files needed by auditors to provide samples
    • Once samples are received, working with data and school teams to provide additional documents as well as investigate and explain discrepancies as needed
  • Collaborate frequently with Chief of Staff and Superintendent/Principal to ensure data accuracy and configuration within the system

School/State/Federal Reporting

  • Complete all School/State/Federal data reporting requirements, including but not limited to: 
    • CALPADS Annual Reporting
      • Manages project internal due dates 
      • Collaborates with relevant other staff/stakeholders to validate SIS data
      • Provides final review of certification reports
      • Ensure data requested by authorizer are completed and delivered as requested
      • Collaborates with the HR Department to collect and manage staff data as well as help identify potential staff missassignments
    •  Attendance
      • Ensure all school site attendance reviews are completed by data and attendance teams on a monthly basis
      • Audit and submit all state attendance reports (i.e. P1, P2, etc.), including any revisions as needed
    • CBEDS
      • Review classified staff demographic data in collaboration with HR Coordinator and collect missing data points
      • Fill out and provide certification of all school CBEDS reports
    • SARC
      • Coordinate the completion of each school’s SARC by multiple school and organization stakeholders prior to board review and approval
      • Publish each school SARC once board approved
    • Immunizations
      • Collaborate with operations/health team to identify missing immunization and follow-up to ensure they are collected and properly inputted into SIS
      • Submit immunization reports to Santa Clara County Public Health Department
    • National School Lunch Program
      • Manage the collection, analysis and input of student lunch programs 
      • Collects monthly Direct Certification reports that apply to student eligibility
  • Participate in all relevant compliance training and share developments with team to ensure new requirements are being met

  • You have a Bachelor's degree (required)
  • You have two or more years of School Compliance experience (required)
  • You have two or more years experience with student information system management (required); experience in PowerSchool preferred
  • You have two or more years leadership experience (preferred)
  • You have Charter school experience (preferred)
  • You are highly proficient in the ability to work with Microsoft and Google suites
