As an integral member of the People team, youā€™ll play a key role in delivering on that mission, ensuring our office runs smoothly, is a welcoming space, and supports a positive experience for everyone who works here.

This is a part-time role, working 25 hours per week, based fully onsite in White City on Mondays, Wednesdays, and Thursdays. Start time is 8am - 5pm (we can be flexible with the finish time)

Key responsibilities

  • šŸ½ļø Office & Kitchen Management: Oversee the daily set-up of breakfast, manage kitchen stock (coffee, milk, tea, snacks), and handle pantry and stationery orders.
  • šŸ“¦ Supplier & Delivery Coordination: Liaise with suppliers (building management, housekeeping, plant maintenance) and manage deliveries to ensure smooth daily operations.
  • šŸ‘‹ Visitor & Employee Experience: Provide a warm welcome to visitors and candidates, manage visitor registrations, and ensure employees are supported in the office for a positive work experience.
  • šŸ’» Tech & Equipment Support: Assist with basic tech issues (e.g. screens, printers, TVs) and coordinate maintenance for office equipment such as coffee machines, water dispensers, and fridges.
  • šŸŽ‰ Event & Meeting Coordination: Help organise internal meetings, socials, town halls, and team-building activities to foster a positive, collaborative atmosphere.
  • šŸ›”ļø Health & Safety Oversight: Ensure first aiders and fire marshals are up-to-date with training. Support incident and accident reporting, ensuring follow-up actions are completed.
  • šŸŒ± Championing Culture, ED&I, and Wellbeing: Collaborate with the People team to support initiatives that celebrate diversity, equity, and inclusion (ED&I) in the workplace. Promote and organise wellbeing activities that help our team thriveā€”whether thatā€™s coordinating mindfulness sessions, fitness classes, or other wellness programs. Act as a cultural ambassador, ensuring our office reflects and enhances our values.
