📣  A bit about the role:

As a Hiring Coordinator at Butternut Box, you’ll be an important player in our People Team, ensuring every hiring experience reflects our values. Acting as the backbone of our recruitment process, you’ll support the recruitment team, hiring managers and candidates with complex interview scheduling, whilst also working on wider projects that drive employer branding and key talent initiatives.

This role is perfect for someone who thrives in a fast-paced environment, enjoys working with a variety of stakeholders, has a sharp eye for detail and genuinely cares about creating an exceptional candidate experience. You’d be joining a UK talent team of four recruiters, all dedicated to making the Butternut interview process the best it can be. We’re also part of a global talent function of 13, working together to attract and hire talent bar raisers.

📍The ways of working for this role are 3 days per week (Monday, Wednesday & Thursdays) in our West London office and 2 days from home. This is non negotiable so we’d recommend only applying if this is suitable for you📍

Recruitment Coordination & Candidate Experience

  • Own the end-to-end interview scheduling process across multiple time zones, using Greenhouse as our ATS. You'll be responsible for managing all written candidate and stakeholder communication, ensuring a smooth and positive journey for both parties. This includes booking rooms, sending interview prep, and handling last-minute changes with both a proactive and reactive approach.
  • Support new hires during onboarding, working alongside the wider People team. This may involve coordinating tech requests, collecting DSE forms, and ensuring everything is in place for their first day.
  • Be the friendly face that greets candidates when they visit the office for a final-stage interview. Strong small talk skills go a long way here—your role is to make them feel at ease before they step into their session.
  • Always be on the lookout for ways to refine and improve the candidate experience.

Employer Branding & Talent Attraction

  • Bring our employer brand to life through compelling careers page content, social media, and external events. This might involve working with our marketing and social teams, as well as hiring managers, to showcase our culture, values and employee experience.
  • Own our Glassdoor and LinkedIn presence, ensuring a consistent and engaging employer brand message. If you enjoy writing or social media, this will be right up your street.
  • Help organise and promote recruitment focused events, meetups and networking opportunities. In the past, we've hosted Codebar, sponsored Rails Girls and run assessment days - there’s plenty of scope to build on these initiatives.

Project Work & Process Improvement

  • Research, propose, and lead projects related to DE&I, internal tooling, AI, efficiency, and data. A recent example includes partnering with our internal data team to develop Looker dashboards that integrate with Greenhouse.
  • Play a key role in aligning recruitment efforts across our European locations. This could mean refining processes, implementing new tools, or organising monthly knowledge sharing sessions to foster collaboration and scalability.
  • Manage internal communications to share recruitment insights using Canva & Looker. We are always looking for ways to improve internal visibility.
  • Stay ahead of hiring trends, bringing fresh ideas that help us Strive for Better.

🐾  A bit about you: 

  • Ideally we’re looking for someone that has previous experience in recruitment coordination, employer branding, HR administration or a similar people-focused role.
  • Exceptional organisational skills with the ability to juggle multiple priorities.
  • Strong written and verbal communication skills with a high attention to detail, nothing slips through the cracks.
  • Confident working with ATS platforms and other recruitment tools (experience with Greenhouse is a plus).
  • Passionate about candidate experience, employer branding and making an impact. We’re looking for a natural people person who builds relationships with ease and embodies Genuine Care.
  • Thrives in a fast-paced, dynamic environment with a resilient, proactive mindset.
  • Obsessed with dogs, naturally.

  • Experience in a high-growth or startup environment.
  • Recruitment experience before moving into talent ops or coordination.
  • Hands on experience with employer branding or talent attraction projects.
  • Familiarity with recruitment marketing, social media content creation or events planning.
