Conferences and Customer Event Manager

Location: Remote (within 60 minutes of a major airport) or Kennewick, WA

Reports To: Director of Global Marketing

Salary Range:  $75K - $95K

 

Summary: We are seeking a dynamic and highly organized Conferences and Customer Event Manager to lead the planning, execution, and optimization of our presence at key healthcare and medical device industry conferences, as well as our proprietary customer-facing events. This role is pivotal in enhancing our brand visibility, generating leads, fostering customer/KOL relationships, and showcasing our innovative solutions within the neurodiagnostic, neuromonitoring and sleep diagnostic landscape. The ideal candidate will possess a strong blend of strategic thinking, meticulous project management skills, and a deep understanding of the unique requirements of medical device marketing and compliance.

Key Responsibilities:

  • Strategy & Planning:
    • Develop and execute comprehensive strategies for conference participation and customer events that align with overall marketing and sales objectives, product launches, and business development goals
    • Collaborate with marketing, sales, clinical educators, and product teams to define event objectives, target audiences, key messages, and required resources.
    • Manage event budgets, track expenses, and negotiate contracts with venues, vendors, and service providers to ensure cost-effectiveness and optimized ROI. 
  • Conference Management:
    • Oversee all aspects of pre-show planning, including booth design and logistics, registration, housing for attendees, lead capture strategy, scheduling, conference team preparation/training, and material coordination (e.g., interactive product demos, collateral, giveaways)
    • Manage exhibit booth setup and teardown, ensuring brand standards are met and equipment is properly handled
    • Coordinate speaker engagements, presentations, and product demonstrations at conferences. Work with internal and external speakers to ensure presentations align with company messaging and compliance standards
    • Work with the marketing team to implement pre-conference promotion strategies to maximize attendance and engagement
    • Ensure all conference activities and materials comply with relevant industry and internal compliance policies
  • Customer Event Management (e.g., User Meetings, Workshops, Symposia):
    • Plan and execute proprietary customer events, including user conferences, educational workshops, thought- leadership symposia, and regional customer gatherings. Tailor event formats and content to meet specific objectives, such as education, relationship-building, or product training.
    • Manage all event logistics, including venue selection, catering, group housing,  A/V, registration platforms, agenda development, and speaker coordination.  Negotiate vendor contracts and manage vendor performance to ensure high-quality service delivery.
    • Design and implement event promotion strategies to maximize attendance and engagement
  • Vendor & Stakeholder Management:
    • Cultivate strong relationships with external vendors (e.g., exhibit house, A/V, caterers, graphic designers) and internal teams
    • Serve as the primary point of contact for all event-related inquiries and problem-solving
  • Measurement & Reporting:
    • Establish clear KPIs for all conferences and events, such as lead generation targets, attendee satisfaction scores, and ROI metrics
    • Provide comprehensive post-event reports with actionable insights and recommendations for future improvements
  • Logistics & Administration:
    • Order conference and event-related materials and equipment
    • Coordinate travel and accommodation for event staff as needed

Education/Experience:

  • Bachelor’s degree in marketing, communications, business administration, or related field.Certification in event management (e.g., CMP, CSEP) is a plus
  • 7-10 years of related experience in event management, with a minimum of 5 years specifically managing conferences and/or customer events within the healthcare, pharmaceutical, or medical device industry

Job Knowledge/Requirements:

  • Solid understanding of marketing principles, strategies, and methods for showing, promoting and selling products and services in a regulated industry
  • Proven track record of successfully planning and executing complex events from conception to completion, meeting budget and timeline objectives
  • Detail-oriented, highly organized, and proactive with a problem-solving mindset, with exceptional project management skills to manage multiple concurrent projects and competing priorities
  • Strong written, visual, and verbal communication skills with excellent negotiation and interpersonal abilities. Able to work cross-functionally, build strong stakeholder relationships, and adapt to changing requirements, deadlines, and priorities while working independently or as part of a team.
  • Ability to manage multiple projects simultaneously, prioritize tasks, and meet tight deadlines
  • Proficiency in MS Office/Google Suite, virtual meeting tools, and event management platforms (Cvent, Eventbrite); Salesforce and Monday.com experience a plus. Experience with virtual or hybrid event platforms a plus
  • Must develop knowledge of Cadwell product lines and technology, and standard concepts, practices, and procedures within the medical devices industry, including regulatory and compliance requirements
  • Other tasks as needed or requested

Physical Requirements / Working Conditions:

  • Ability to travel up to 40% required to attend conferences, events, HQ visits and team meetings; must be able to obtain necessary travel documents, and possess a valid driver’s license and active vehicle insurance 
  • General office positions may require some reaching, bending, stooping, squatting, crawling, kneeling, pushing, pulling, lifting and carrying up to 20 pounds, finger dexterity, repetitive motions, standing, walking, sitting, hearing, visual acuity, color vision, and 2-way written/verbal communication.
  • Work outside normal business hours may be required to meet business needs
