Executive Assistant to the CEO

The firm is seeking an Executive Assistant to support the CEO and his current EA with a wide range of personal, travel, administrative and business-related tasks. The ideal candidates for this role will be smart, detail-oriented, organized and support a fast-paced and high-impact team. Given the role’s nature and exposure, the ideal candidate will have refined interpersonal skills, gravitas, and trustworthiness.

Responsibilities

  • Assist CEO with personal and administrative tasks including travel, expense reports, etc. as well as assisting his current EA with any business-related tasks
  • Help coordinate and maintain the CEO’s calendars and effectively manage all scheduled activities (including business meetings, travel arrangements, personal appointments, and outside commitments)
  • Research, book, and oversee business and personal travel arrangements including itineraries, flights, hotels, ground transportation, etc.
  • Strategically manage the CEO’s time with respect to the organization’s priorities, goals, and objectives.  This includes understanding important initiatives and managing calendars accordingly
  • Monitor CEO’s calendar and anticipate where problems might arise regarding schedule, meeting preparation, requests for meetings and telephone calls; communicate potential and/or confirmed changes to involved parties immediately
  • Proactively bring together appropriate team members and resources to support key firm initiatives
  • Additional responsibilities to be determined based on capacity, skill, and interest

Qualifications

  • Bachelor’s degree required
  • 2+ years of administrative experience, preferably in the financial industry or C-Suite
  • Experience coordinating multiple competing priorities in a fast-paced environment
  • Ability to independently execute instructions with great attention to detail and consistently produce work that is thorough and meticulous
  • Highly refined communications and writing skills
  • Ability to take detailed notes during meetings
  • Willing and comfortable with taking initiatives
  • High level of integrity due to dealing with sensitive and confidential information
  • Excellent time management skills, and tracking of multiple tasks from start through completion
  • High EQ, positive attitude and good at building relationships
  • Linear, logical thinking, the ability to resolve complex issues into manageable components, and an inherent desire to learn
  • Advanced working knowledge of Microsoft Office and Salesforce
  • Available to work after hours and on weekends as required

CAIS’ compensation package includes a market competitive salary, a performance bonus, and exceptional benefits. If you are located in New York, New York, the base salary range for this role is $80,000 - $110,000. Actual compensation is influenced by a wide array of factors including but not limited to skill set, level of experience, and specific office location.
