
Nightlife Program and Partnership Specialist
About the Opportunity
This role is integral to the successful programmatic development and execution of NightLife events, transforming the California Academy of Sciences into a vibrant cultural night spot. The Coordinator will focus on curating dynamic programming, managing key partnerships, and providing essential administrative support to ensure seamless event execution.
The NightLife Program and Partnerships Coordinator, reporting to the NightLife Brand Manager, will assist in the development and execution of weekly NightLife events, focusing on program curation, partnership management, and administrative tasks. This position requires a creative, detail-oriented individual with strong organizational and communication skills.

Program and Partnership Development:
- Collaborate with the NightLife and Sales teams to proactively research, identify, and initiate contact with potential programming partners (artists, scientists, educators, performers, orgs) through targeted outreach, database management, and industry networking, building a robust pipeline of engaging content.
- Support the development and execution of the annual event programming calendar by contributing to theme and programming ideation, curating unique and engaging events, and ensuring a cohesive and dynamic event experience.
- Administer consistent communications with existing NightLife partners through email, phone calls, meetings, site visits, and targeted networking, ensuring ongoing collaboration and successful partnerships.
- Assist in overseeing special projects and initiatives related to partnerships and programming, aligning with strategic goals and priorities.
Administrative Support:
- Provide ongoing support to the NightLife Brand Manager as needed, including assisting in researching the competitive event landscape and providing insights on current trends.
- Assist in the preparation and management of the NightLife programming budget, ensuring accurate tracking and reporting, and support the evaluation and reporting of event success by assisting in the analysis of event metrics, including cost, ROI, and outcomes.
- Provide comprehensive administrative support for event planning and execution, including scheduling meetings, preparing agendas, managing correspondence, and maintaining accurate records of partner agreements, contracts, and payment information.
Event Execution:
- Attend NightLife events to directly support seamless event deployment and ensure positive guest and partner experiences, proactively addressing issues and maintaining effective communication with all involved parties.
- Actively participate in event set-up and strike, manage partner arrival and check-in, and facilitate clear communication and collaboration with museum floor staff, NightLife event stakeholders, and the NightLife Production Supervisor and NightLife Event Coordinators to ensure smooth event execution and positive guest experiences related to partnership activations.
- Ensure adherence to Academy safety regulations and protocols during all phases of event execution.
QUALIFICATIONS:
Experience and/or Education:
- Bachelor's degree or equivalent experience in event management, program coordination, or a related field.
- Minimum of 3 years experience in event programming, partnership management, or event production is highly desirable.
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Ability to manage multiple tasks and projects simultaneously in a fast-paced environment.
- Proficiency in Google Workspace, Salesforce, and Adobe applications Photoshop and Illustrator.
- Experience in building and maintaining relationships with diverse community groups.
- Ability to apply Diversity, Equity, Inclusive, and Accessibility (DEIA) frameworks to event planning, ensuring inclusivity and equitable access for diverse audiences.
- Must be 21 years of age or older.
Additional Notes:
- This position requires nights and weekends, specifically on approximately 47 Thursdays, a couple of Fridays, and a couple of Saturdays throughout the fiscal year, and may vary based on the needs of the business.
- A passion for community engagement, social justice work, and the Academy’s mission to regenerate the natural world is a plus.

This position requires moving throughout indoor and outdoor museum spaces during daylight and occasional evening and weekend hours as needed.
Compensation and Benefits:
The salary range for this position is $33.16 - $34.50. Actual compensation will be commensurate with experience, skills/knowledge set, and internal equity. We believe in fair and equitable compensation practices and are committed to providing competitive salaries within the industry and market standards. The Academy offers a total compensation package that emphasizes both base salary and comprehensive benefits based on the hours per week worked. Further details regarding compensation and benefits will be discussed during the interview process.
