Summary

 

The Accounts Receivable/ Accounts Payable Specialist is primarily responsible for overseeing the collection process, while assisting with our ongoing accounts payable efforts, maintaining and reconciling general ledger bank accounts, supporting the monthly accounting close, and other duties as assigned.

In this role, your responsibilities include:

Accounts Receivable lead

  • Oversees collection efforts in outstanding accounts receivable and continues to streamline and enhance processes.
  • Emails reminder letters after established payment terms according to 10/15/30 days after.
  • Contacts customers payable through calls/email with outstanding AR due.
  • Partners with customer service to review, post and distribute invoices to customers.
  • Assists in credit review (Dun & Bradstreet reports) and assists in collection efforts.
  • Assists in monthly accounts receivable statements and aging reports.
  • Assists in posting A/R collections to the receivables sub-ledger.

 

Accounts Payable support

  • Works with vendors and various team members to review and process invoices by performing the 2-way and 3-way match and assists with payment process through Bill.com.
  • Work with team members and vendors for new vendors setup.
  • Work with vendor to verify ACH and wire instructions.
  • Assists auditing expense reports (in Concur) to ensure compliance with company policies.

 

General Ledger support

  • Maintains assigned general ledger bank accounts and ensures that transactions affecting the accounts are accurately recorded in accordance with company policies in the proper accounting periods.
  • Prepares bank account reconciliations monthly and works with the team to resolve discrepancies.

 

Month-End Close

  • Assists in the completion of monthly close procedures related to accounts payable and accruals.
  • Prepares journal entries for accruals, allocations, and adjustment of assigned general ledger accounts.
  • Responsible for variance analysis in assigned accounts.

 

Financial Audit

  • Prepares information as required by external auditors to support annual and/or quarterly audit procedures related to accounts receivable / accounts payable function.

 

Compliance

  • Assists in reviewing/updating policies and procedures as needed.

 

Performs other related duties as assigned by Supervisor

 

Who You Will Report To:

 

  • Controller

 

Requirements:

  • 5-6 years of experience in account receivable/account payable functions.
  • Experience with medical device companies is a plus.
  • Bachelor’s degree in finance or accounting preferred.
  • Demonstrated experience in accounts receivable and accounts payable.
  • Strong track record of working in a corporate accounting function maintaining compliance with company policies and procedures.
  • Demonstrated problem solving, analytical and process improvement skills
  • Familiar with enterprise level ERP systems. NetSuite experience preferred.
  • Proficient in Word, Excel.
  • Excellent interpersonal and communication skills. Proven ability to communicate effectively across all levels of the organization and with customers and vendors
  • Work ethic that exudes integrity, accountability, and professionalism
  • High attention to detail
  • Requires the ability to multi-task, manage time, and work well under pressure
  • Works well with other functions to achieve goals. Collaborative, positive attitude with desire to work in a demanding, fast paced, and dynamic work environment for a rapidly growing company.
  • Self-motivated and able to contribute individually and as a team, with minimal supervision

 

  • Work location: Pleasanton, CA
  • Travel: Less than 10%
  • Full time employment
  • Must be able to lift 10 pounds, sit for up to 8 hours/day
  • Compliance with relevant county, state, and Federal rules regarding vaccinations.

  • Competitive salary ($30.00 - $33.00 per hour, depending on experience)
