We are looking for a highly organized and proactive OFFICE ASSISSTANT to support the smooth day-to-day operations of our Warsaw office. This role is ideal for someone who enjoys creating a welcoming and efficient office environment, coordinating events, and anticipating the needs of the team. You will play a key role in fostering a positive workplace culture through thoughtful planning and hands-on support.
This role is a hybrid model - 3 times a week in Warsaw office.
Key Responsibilities:
- Office Coordination & Upkeep:
Ensure the office is well-stocked, tidy, and running smoothly. Manage supplies, liaise with vendors, and handle basic facility needs. - Event & Meeting Support:
Organize internal events such as team breakfasts, celebrations, and workshops. Support logistics for meetings, including room bookings, catering, and materials preparation. - Proactive Administrative Support:
Anticipate team needs and take initiative to solve problems before they arise. Provide ad hoc support to executives, including calendar coordination and travel arrangements. - Communication & Liaison:
Act as a point of contact for internal and external stakeholders. Help maintain a friendly and professional office atmosphere. - Documentation & Reporting:
Assist with preparing reports, and internal communications. Maintain office records and support basic data entry tasks.
Qualifications:
- Previous experience in office administration or hospitality
- Strong organizational and multitasking skills
- Friendly, proactive, and service-oriented attitude
- Critical and analytical thinking
- Excellent communication skills in Polish and English (min. C1)
- Proficiency in Microsoft Office (Outlook, Excel, PowerPoint)
- Ability to work independently and as part of a team
- Hybrid working mode: 3 days a week working from Capco’s Warsaw office
