We are looking for a Receptionist to manage our front desk and perform a variety of administrative and clerical tasks. As the first point of contact for visitors, candidates and employees as they enter the building, you will be the person who helps create a warm and inclusive atmosphere for everyone. Your responsibilities will include staffing the front desk, maintaining the cleanliness and organization of executive conference rooms and common areas, and contributing to our vibrant office culture through event support and office decorations. This role is essential in fostering a positive experience for everyone who visits or works at our office.

NOTE: We require you to be able to work daily at our Redwood City, CA facility. Standard shift is 8am to 5pm and this position is an in-office position.  

As a receptionist, you will be responsible for:

  • Front Desk Management:
    • Welcome employees, visitors, and candidates with professionalism and a friendly demeanor.
    • Provide clear and helpful information in person, or via email.
    • Manage incoming and outgoing mail and deliveries efficiently.
    • Maintain office security by adhering to safety procedures and monitoring access at the reception desk (e.g., visitor check-in, issuing badges).
  • Office and Conference Room Maintenance:
    • Ensure reception and executive conference areas are clean, organized, and stocked with necessary materials (e.g., pens and refreshments).
    • Collaborate with facilities or cleaning teams to address any office  needs promptly.
  • Culture and Event Support:
    • Assist in planning and executing office events, including decorating for holidays and celebrations.
    • Help organize engaging activities to foster a positive and inclusive workplace culture.
  • Visitor Experience:
    • Greet and assist visitors for in-office visits, ensuring a welcoming and seamless experience.
    • Occasionally assist in greeting and helping candidates get situated for in person interviews.
    • Help maintain the appearance of the customer experience center ensuring a tidy and professional look. 

To be successful in this role, you should have:

  • 1-2 years of experience as a receptionist, front office representative, or in a similar customer-facing role.
  • Proficiency with office software such as Google Office Suite or similar tools.
  • Experience using office equipment (e.g., printers, scanners).
  • Strong interpersonal and communication skills, with the ability to engage with individuals from diverse backgrounds.
  • Professional attitude and appearance.
  • Excellent written and verbal communication skills.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple tasks and remain composed under pressure.
  • Enthusiasm for fostering an inclusive and positive office environment.
  • High school diploma or equivalent; additional certification in office management is a plus.

At Carbon, we look at the person holistically and carefully consider a wide range of factors when determining salary. The compensation bracket for this position is $25.48 - $33.13. In order to maintain equitable internal pay practices, we aim to hire new employees near the midpoint of $29.33, taking into account your experience, work location, certifications, and the unique skills you bring to the role. If you are not based in our Redwood City office, the range above will be adjusted for the geographical differential associated with your actual work location.
