
Client Relationship Specialist
Position Summary
Cardinal Point Wealth Management, ULC is a Canada-U.S. cross-border wealth management firm that specializes in providing personalized investment, tax, estate, transition, and financial planning solutions to affluent individuals and families. Clients seek a long-term relationship with a trusted wealth manager to simplify their financial lives and manage their investments effectively. This is a full-time on-site role for a Client Relationship Specialist located in Montreal, Quebec, Canada. The Client Relationship Specialist will be responsible for ensuring customer satisfaction, providing customer support, effective communication, utilizing analytical skills, and delivering exceptional client service on a daily basis.
Primary Responsibilities:
- Assist PMs with all administrative issues, including reviewing transfer-ins, servicing
clients, and corresponding with clients and custodians - Draft and execute Letters of Direction (LODs) as needed for client transactions and
- Follow up and assist with estates, including account documentation, rollovers, and
deemed disposition. - Facilitate the onboarding process for new clients by preparing and organizing
account opening documentation - Process conversions from RRSP to RRIF for clients in accordance with regulatory
requirements - Cash management, ensuring liquidity for withdrawals and purchases
- Redeem/purchase money market securities
- Perform FX conversion
- Cash, assets and transaction reconciliation with custodian
- Handle client requests such as EFTs, cheques, wires, and bank transfers
- RRSP/TFSA/RESP contributions, RRIF/LIF payments and/or modifications
- Reconcile accounts with custodian monthly and quarterly for SOX auditing
- Prepare material for tax reporting and liaise with clients' accountants
- Update clients' tax information with custodians, including FACTA and W-8BEN
forms, to ensure compliance - Provide backup support to other Administrators to maintain continuity of operations
- Work with the administrative team to foster teamwork and achieve timely output
- Analyze procedures and suggest improvements to optimize operational processes
- Help Implement quality controls and standard operating procedures for portfolio
valuations, trading, settlement, and other operational activities - Quarterly reports: filter client database through international terrorist and PEP data
base; AML transaction verification: Broker commission analysis - Assist in assessing the suitability of investments and ensure guidelines in the
Investment Policy Statement are upheld - Assist in managing asset mix compliance, concentration reports, industry
diversification, and margin accounts.
This is an exempt position. The annualized base pay range for this role is expected to be between $75,000-$80,000.00 CAD. Actual base pay could vary based on factors including but not limited to experience, subject matter expertise, geographic location where work will be performed, and the applicant's skill set. The base pay is just one component of the total compensation package for employees. Other rewards may include an annual cash bonus and a comprehensive benefits package, including but not limited to medical, dental, vision, life insurance, and 401(k). Le ou la spécialiste des relations clients sera responsable d’assurer la satisfaction de la clientèle, de fournir un soutien aux clients, de communiquer efficacement, de mettre à profit ses compétences analytiques et d’offrir un service à la clientèle exceptionnel au quotidien.
Responsabilités principales
- Assister les gestionnaires de portefeuille (PM) dans toutes les tâches administratives, y compris l’examen des transferts entrants, le service aux clients et les communications avec les clients et les dépositaires
- Rédiger et exécuter des lettres d’instructions (LODs) au besoin pour les transactions des clients
- Effectuer le suivi et apporter un soutien dans le traitement des successions, incluant la documentation des comptes, les roulements et les dispositions réputées
- Faciliter le processus d’intégration des nouveaux clients en préparant et en organisant la documentation d’ouverture de comptes
- Traiter les conversions de REER en FERR conformément aux exigences réglementaires
- Gérer les liquidités afin d’assurer la disponibilité des fonds pour les retraits et les achats
- Effectuer l’achat et le rachat de titres du marché monétaire
- Effectuer des conversions de devises (FX)
- Effectuer le rapprochement des encaissements, des actifs et des transactions avec le dépositaire
- Traiter les demandes des clients telles que les transferts électroniques de fonds (TEF), les chèques, les virements et les transferts bancaires
- Gérer les cotisations REER/CELI/REEE ainsi que les paiements et modifications de FERR/FRV
- Effectuer les rapprochements de comptes avec le dépositaire sur une base mensuelle et trimestrielle dans le cadre des audits SOX
- Préparer la documentation pour les déclarations fiscales et collaborer avec les comptables des clients
- Mettre à jour les informations fiscales des clients auprès des dépositaires, y compris les formulaires FATCA et W-8BEN, afin d’assurer la conformité
- Fournir un soutien de relève aux autres administrateurs afin d’assurer la continuité des opérations
- Collaborer avec l’équipe administrative afin de favoriser le travail d’équipe et respecter les échéanciers
- Analyser les procédures et proposer des améliorations afin d’optimiser les processus opérationnels
- Contribuer à la mise en place de contrôles de qualité et de procédures opérationnelles normalisées pour les évaluations de portefeuille, les transactions, les règlements et autres activités opérationnelles
- Produire des rapports trimestriels : filtrer la base de données clients à l’aide de bases de données internationales liées au terrorisme et aux PPE; effectuer la vérification des transactions AML; analyser les commissions des courtiers
- Participer à l’évaluation de la pertinence des investissements et veiller au respect des lignes directrices de la politique de placement
- Aider à la gestion de la conformité de la répartition d’actifs, des rapports de concentration, de la diversification sectorielle et des comptes sur marge
