About the Job
The Office Manager/Lead Medical Assistant will play an instrumental role in ensuring the efficient operation of the cardiology office by overseeing administrative functions, managing staff, and maintaining a positive patient experience. This position requires strong organizational skills, attention to detail, and excellent communication abilities. You will be responsible for a variety of patient care, technical, and clerical related functions. The Office Manager/Lead Medical Assistant is responsible for the clinic patient flow by assisting members of the patient care team and providing a broad range of health care services. You will report directly to the Vice President of Operations. This position is estimated to start in June or July.
What you’ll do:
- Oversee day-to-day administrative operations and staff of the Lynnwood office
- Ability to help Medical Assistants as needed.
- Manage scheduling of appointments, procedures, and consultations
- Coordinate patient registration, check-in, and check-out processes when necessary
- Maintain electronic health records (EHR) and ensure accuracy and compliance
- Handle insurance verification, billing, and claims processing
- Recruit, train, and supervise administrative staff, including receptionists and medical assistants
- Schedule staff shifts and ensure adequate coverage during office hours
- Conduct performance evaluations and provide feedback to staff members
- Foster a positive work environment and promote teamwork and collaboration
- Provide excellent customer service to patients, families, and visitors
- Address patient inquiries, concerns, and complaints in a timely and professional manner
- Ensure a welcoming and comfortable environment for patients during their visits
- Monitor inventory levels of office supplies, medical supplies, and equipment
- Coordinate orders and deliveries of supplies as needed
- Interview patients and document basic medical history
- Update and file medical records and insurance reports
- Arrange hospital admissions and laboratory services
- Check with patients and type up patients' charts when necessary
- Assist during medical examinations
What you’ll need:
- Associate degree preferred or equivalent experience
- 3-5 years’ experience in office management and in a lead medical assistant role of a healthcare practice
- Knowledge of medical terminology, billing processes, and healthcare regulations.
- Strong leadership and interpersonal skills.
- Proficiency in computer systems and software, including electronic health records (EHR) and Microsoft Office.
- Ability to multitask, prioritize tasks, and work efficiently in a fast-paced environment.
- Athena EMR experience preferred.
- Medical Assistant certification required.
Work Location
You will work out of Lynnwood, WA office.
Additional Information
Full-time base salary range of $45,000 to $60,000 plus medical, dental, and vision.
