About the Role
The Office Manager at Corrielus Cardiology serves as a key operational leader responsible for the day-to-day management, staff development, and strategic growth of the practice. This individual acts as the bridge between leadership and front-line staff, ensuring that organizational goals are translated into actionable protocols and measurable outcomes. The Office Manager is accountable for maintaining a culture of excellence, driving productivity, ensuring regulatory compliance, and supporting the expansion of community partnerships. This role requires a proactive leader who can develop people, implement systems, and hold the team accountable to the highest standards of patient care and operational efficiency.
What you'll do:
Staff Development & Accountability
- Recruit, hire, onboard, and train administrative and clinical support staff to meet practice needs
- Develop and mentor team members through ongoing coaching, feedback, and professional development opportunities
- Establish clear performance expectations and hold staff accountable through regular performance evaluations and corrective action when necessary
- Foster a positive, collaborative, and high-performance work culture aligned with the practice's mission and values
- Create and manage staff schedules, ensuring adequate coverage for all operational hours
- Serve as the primary point of contact for staff concerns, conflict resolution, and team communication
Protocol Implementation & Operational Excellence
- Develop, implement, and continuously improve office protocols, policies, and standard operating procedures (SOPs)
- Ensure all staff are trained on and adhere to established protocols for patient intake, scheduling, billing, and clinical workflows
- Oversee daily office operations including patient flow, appointment scheduling, medical records management, and front desk functions
- Manage office equipment, supplies, and vendor relationships to ensure seamless operations
- Troubleshoot operational challenges and implement solutions to enhance efficiency and patient experience
- Maintain and optimize Electronic Health Record (EHR) and practice management systems
Strategic Growth & Leadership Collaboration
- Partner with the leadership team to develop and execute strategic plans for practice growth and expansion
- Translate organizational goals into actionable programs, initiatives, and operational plans
- Participate in leadership meetings, providing insights on operational performance, staffing needs, and growth opportunities
- Support the development and launch of new service lines, community programs, and partnership initiatives
- Contribute to budget development and manage operational expenses within approved budget parameters
- Identify opportunities for process improvement, cost savings, and revenue enhancement
Performance Measurement & Productivity Management
- Establish key performance indicators (KPIs) and metrics to measure team and individual performance
- Track, analyze, and report on productivity metrics including patient volume, appointment utilization, no-show rates, and revenue cycle performance
- Ensure the practice meets or exceeds established productivity goals and benchmarks
- Conduct regular team meetings to review performance data, celebrate successes, and address areas for improvement
- Prepare and present operational reports to leadership on a weekly, monthly, and quarterly basis
- Implement data-driven strategies to improve efficiency, reduce waste, and enhance patient satisfaction
Community Partnership Compliance
- Maintain compliance with all community partner agreements, memoranda of understanding (MOUs), and contractual obligations
- Serve as the operational liaison for community partnership sites, ensuring service delivery meets agreed-upon standards
- Coordinate with community partners on scheduling, reporting, and quality assurance requirements
- Track and report on community partnership metrics and outcomes as required by partner organizations
- Support the business development team in onboarding new community partners and maintaining existing relationships
Regulatory & Government Compliance
- Ensure practice compliance with all federal, state, and local healthcare regulations, including HIPAA, OSHA, CMS, and state medical board requirements
- Stay current on changes to healthcare regulations and implement necessary policy and procedural updates
- Maintain compliance with Medicare, Medicaid, and commercial payor requirements
- Oversee credentialing and re-credentialing processes for providers with insurance networks and hospital systems
- Coordinate compliance audits, inspections, and corrective action plans as needed
- Maintain up-to-date licenses, certifications, and registrations required for practice operations
- Ensure proper documentation, record retention, and reporting as required by regulatory agencies
- Train staff on compliance requirements and conduct regular compliance education
What you'll need:
Required Education & Experience
- Bachelor's degree in Healthcare Administration, Business Administration, or related field (or equivalent combination of education and experience)
- Minimum of 3-5 years of healthcare office management experience, preferably in a specialty practice setting
- Demonstrated experience supervising and developing staff
- Working knowledge of healthcare compliance, HIPAA, and medical billing/coding
- Proficiency with Electronic Health Record (EHR) and practice management systems
Preferred Qualifications
- Experience in cardiology or specialty medical practice
- Certified Medical Practice Executive (CMPE) or similar certification
- Experience with Medicare/Medicaid compliance and reporting
- Experience managing community health partnerships or multi-site operations
- Bilingual (English/Spanish) a plus
