Employment Type: Full-Time | On-Site (Monday-Friday, 8:00 AM to 5:00 PM with occasional weekends | Experienced 

Compensation: $80,000 - $90,000 depending on experience and qualifications

This is not a remote position. Relocation assistance is not offered.

About the Role

We are seeking an experienced Fleet Safety & Compliance Coordinator to support a fleet of more than 100 trucks operating in port and rail drayage. This role will support driver onboarding, DOT and safety compliance, equipment registrations, fuel card administration, and day-to-day fleet administration.

The ideal candidate has strong, hands-on experience managing safety and compliance for a trucking company and understands the unique requirements of port and rail operations. This is an execution-focused role requiring someone who can manage multiple processes, maintain accurate records, resolve issues, and keep drivers and equipment compliant and operational.

Key Responsibilities

Safety & Regulatory Compliance

  • Maintain driver and equipment compliance with applicable DOT and FMCSA requirements.
  • Monitor Hours of Service (HOS), electronic logging devices (ELDs), and driver logs.
  • Monitor driver activity and safety exceptions through Samsara and other fleet technology platforms.
  • Maintain driver qualification files, licenses, medical certifications, and required safety documentation.
  • Track compliance deadlines, renewals, violations, and corrective actions.
  • Coordinate accident and incident reporting, documentation, and follow-up.
  • Support internal audits and maintain organized, accurate compliance records.

Driver Onboarding

  • Coordinate onboarding for new company drivers and owner-operators, ensuring all required documents and qualifications are completed before dispatch.
  • Verify driver credentials, required registrations, insurance documents, and other onboarding requirements.
  • Coordinate with recruiting, dispatch, operations, and other internal teams to resolve onboarding issues.
  • Track onboarding progress and ensure drivers are approved and ready to operate.

Fleet Registration & IRP Administration

  • Manage and coordinate the International Registration Plan (IRP) plate program, including applications, renewals, supporting documentation, and recordkeeping.
  • Track registration and plate expiration dates to prevent interruptions to operations.
  • Maintain accurate records for trucks, plates, permits, and related fleet documentation.
  • Coordinate with state agencies and registration providers as needed.

Fuel Card Administration

  • Coordinate fuel card setup, issuance, assignment, and cancellation for drivers.
  • Maintain accurate fuel card records and support access or transaction-related issues.
  • Assist with monitoring fuel card exceptions and escalating suspected misuse or discrepancies.
  • Coordinate with Finance and Operations to ensure fuel cards are assigned appropriately and available when drivers are ready to work.

Systems & Operational Support

  • Maintain accurate driver, truck, and compliance information across company systems.
  • Use Samsara and other fleet management systems to monitor driver and equipment compliance.
  • Support Trinium data maintenance and operational workflows as needed.
  • Maintain accurate SCAC code and other carrier or customer-required information, as applicable.
  • Work closely with Operations and Dispatch to ensure drivers and trucks meet the requirements for port, rail, and customer operations.
  • Provide timely updates on outstanding compliance items that could prevent a driver or truck from being dispatched.

Qualifications

  • Minimum 5 years of hands-on experience in fleet safety, DOT compliance, or trucking fleet administration required.
  • Experience supporting a commercial trucking fleet, preferably 100+ trucks.
  • Strong understanding of DOT/FMCSA regulations, Hours of Service, ELDs, and driver qualification requirements.
  • Experience with Samsara or comparable fleet safety and telematics platforms.
  • Working knowledge of IRP plates, registrations, permits, and renewal processes.
  • Experience administering driver onboarding and fuel card programs.
  • Understanding of port and rail drayage operations and related driver, equipment, and carrier requirements.
  • Familiarity with SCAC codes and port/rail operating requirements.
  • Trinium experience is a plus.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple deadlines, follow through on open issues, and work independently.
  • Strong communication skills and the ability to coordinate across Safety, Recruiting, Dispatch, Operations, and Finance.

The successful candidate is a hands-on fleet safety and compliance professional who understands that compliance directly affects fleet availability and daily operations.

They are organized, proactive, detail-oriented, and comfortable managing the administrative requirements of a large trucking fleet. They identify problems before they interrupt operations, follow through on outstanding items, and work collaboratively to ensure drivers and equipment remain compliant and ready to operate.

Measures of Success

  • Drivers are fully qualified and compliant before dispatch.
  • DOT and safety records remain current and audit-ready.
  • IRP plates, registrations, and renewals are completed on time.
  • Fuel cards are issued, maintained, and deactivated accurately.
  • Safety and compliance exceptions are identified and addressed promptly.
  • Driver and truck information is accurate across company systems.
  • Fleet availability is protected by preventing avoidable compliance and administrative delays.
