
Bilingual Document Specialist (Onsite - Denver)

About the Role
We are seeking a customer-focused and detail-oriented Bilingual Document Specialist (LongPen Agent) to manage remote signing sessions of documents required during the refinance process.
You will serve as the primary point of contact for customers during their virtual signing appointments, ensuring a seamless, professional, and compliant experience, as well as provide administrative and operational support to internal departments to facilitate timely and accurate vehicle title processing.

- Manage daily appointment schedules using Calendly, organizing necessary tasks and resources for each session.
- Prepare and maintain customer folders for every LongPen appointment, ensuring all details are ready.
- Access customer data through internal platforms to retrieve and print all required documentation.
- Actively monitor communication channels (e.g., chat, email) for incoming customer inquiries, appointment updates, and internal team requests.
- Provide timely assistance with scheduling, rescheduling, and troubleshooting virtual appointments.
- Respond professionally to inquiries regarding documentation, appointments, and procedures.
- Initiate and monitor virtual signing sessions via Google Meet, ensuring each session is recorded in compliance with requirements.
- Clearly explain the LongPen process to customers, setting expectations and confirming their understanding before appointments
- Upload and verify all signed documents for compliance and accuracy after each session.
- Maintain clear documentation of each session using internal platforms.
- Track and report daily file completion counts at the end of each shift.
The essential functions of this role must be performed onsite in our downtown Denver, Colorado office.

You have/are:
- Expert-level fluency in both English and Spanish; ability to communicate both written and verbally in financial service conversations
- Strong attention to detail and exceptional organizational skills
- Flexibility to work an 8-hour shift Monday-Friday between 8:00 AM and 7:00 PM. Weekend availability may also be required.
- Prepared to engage in and complete a 3-week onboarding experience, with mandatory attendance for 8-hour days, Monday through Friday, to set you up for success in the role
- Previous experience in loan processing, titling, or handling of mortgage/loan documents is preferred, but not required
- Proven ability to manage multiple tasks across digital platforms & web-based tools, experience with Google Suite is preferred
- Outstanding interpersonal and communication skills with a customer-first mindset
- Basic understanding of digital documentation workflows and data privacy standards
- High School Diploma or GED equivalent
- Authorized to work in the USA
- Physical Demands: Must be able to lift and carry up to 50 pounds. This role requires the ability to walk and stand for extended periods of time, as well as the ability to crouch, kneel, and bend to access office equipment and filing systems.
